About the Role:
We’re hiring a polished, organized, and reliable Office Coordinator to support two boutique jewelry brands in a private Midtown workspace.
This is a consistent 3-day/week in-person role based in a luxury building (International Gem Tower) — perfect for someone with strong instincts, light admin skills, and an interest in fashion, design, or jewelry.
You’ll be the central point of flow in a clean, high-end office — handling guest coordination, errands, deliveries, and keeping the space sharp.
The position is in-person only, 3 specific weekdays per week (assigned by the company), totaling no more than 30 hours/week.
Responsibilities:
Maintain a clean, organized, guest-ready front office
Greet clients, vendors, and couriers professionally
Offer water, tea, or coffee to guests upon arrival when required
Run daily pick-ups, drop-offs, and errands within the Diamond District
Manage appointments and maintain calendars for vendor visits
Track and manage deliveries, guest lists, and internal appointments
Monitor email inboxes and send timely follow-ups
Order and restock office snacks, beverages, and supplies
Coordinate with building management, security, and outside vendors
Assist with occasional packaging, returns, or showroom prep
Requirements:
Must be NYC-based and available for consistent weekday shifts
Proficient in Google Suite, and Microsoft Office
Highly organized with strong follow-through
Excellent verbal and written communication
Presentable, discreet, and professional demeanor
Able to multitask and work independently
Prior experience in jewelry, fashion, hospitality, or luxury client environments is a plus
