Job Summary:

We are seeking a highly organized and skilled Office Manager to support the daily operations of Addictive Coffee Roasters. The ideal candidate will have experience in managing office systems, payroll, and inventory, as well as excellent communication and marketing skills. This role involves maintaining office efficiency, implementing policies, and contributing to team efforts across various departments.

Key Responsibilities:

Office Operations:

Maintain and improve office systems, layouts, and equipment procurement.

Implement office policies and procedures, ensuring compliance and efficiency.

Keep the office and warehouse organized and clean.

Staff Management:

Recruit, select, orient, and train new employees.

Ensure proper onboarding and support for new staff members.

Financial Management:

Manage payroll using QuickBooks Online.

Create and send delivery invoices, input expenses and bills, and mark bills as paid.

Compile vendor statements and assist with accounting tasks.

Generate ACH payments and other forms of payment.

Marketing and Communication:

Create marketing materials using Adobe Illustrator or similar software.

Experience with PowerPoint and/or Google Slides.

Communicate with customers regarding overdue invoices.

Inventory and Supplies:

Order supplies from Amazon, Uline, Costco, and Instacart.

Assist in developing an inventory system.

Events:

Attend coffee tasting events in the Bay Area with the team.

Assist in scheduling and preparing for events.

Additional Tasks:

Track down documents for various projects.

Provide marketing support, including writing copy.

Requirements:

Experience with QuickBooks Online and payroll management.

Strong organizational and communication skills.

Ability to work independently and as part of a team.

Proficiency in Adobe Illustrator and PowerPoint/Google Slides.

Availability to work during office hours, including occasional events.
