We are a quick paced and growing Interior Design firm in the Almaden area of San Jose. We are looking to hire an enthusiastic office manager to help us with backend organization and systems. Candidates need to be well organized, exceptional communicators, upbeat and self starters. Must be a team player and willing to play a supporting role in our firm. This is an administrative position, not a design position.
Design Office Manager Responsibilities include:
Strong customer service background
Excellent verbal and written communication skills
Must be comfortable and professional on phone calls and have excellent email and computer skills
Ability to manage various tasks at one time
Purchasing and tracking orders for fabric, tile, material and furniture samples
Verify purchase orders against vendor acknowledgements
Regularly update delivery timeline of all items on order
Coordinate delivery of all items purchased with design team, clients and contractors
Inspect orders upon delivery for accuracy and to identify defects or damage.
Respond to all requests for product repair or replacement
Follow up by email or phone with vendors and clients
Assist designers with selections, pricing and other design related tasks
Highly flexible and comfortable working with a diverse set of people
Excellent work ethic with the ability to work independently
Keep the studio tidy by refiling samples
Maintain our studio library including re-shelving catalogs/samples and keeping catalogs/samples up-to-date.
Organize Design Digital Files
Social Media Managing experience a plus
Must be able to lift and carry 30 lbs.
Experience in the design industry preferred but not required.
Hours are Monday through Friday 20 to 30 hours a week. Flexible start and stop time within normal business hours.
$22- $25/hr
Must have car, laptop computer and cellular phone for work use. We reimburse for mileage driven on company business but not for cell phone or laptop use. This position does not offer any medical or dental benefits. Must be able to commute daily to South San Jose. No relocation opportunities available.
