Office Manager/Administrator (Oakland North/Temescal)

An established construction company located in Oakland is accepting resumes for office manager. The person who fills this position must be very detail oriented and able to work without a great deal of supervision. After becoming familiar with the daily operations and procedures they will be expected to keep themselves productive. The environment is a small office in an industrial setting near the McArthur BART station. It is an informal office with parking available. The applicant must have dependable short distance transportation, a valid drivers license and an acceptable DMV record.

General Duties:

Answer phone and emails, schedule appointments for estimator, return calls and emails, and schedule building inspections when requested.

Create all estimates, contracts and invoices for clients as each job progresses.

Keep office records, A/R and A/P processing and light bookkeeping. Other tasks as requested by owner and the job foreman.

A small payroll is to be done bi-weekly.

Perform regular errands as needed: pick up and drop off mail at post office and purchase office supplies as needed. Keeping track of what needs to be restocked is part of the job.

Skills Needed for Position:

Experienced administrative professional who is dependable and highly organized with business maturity, enthusiasm and a positive attitude a must.

Strong computer skills. Capable of working with MS Office. Excel and Word will be used most frequently. Google Sheets and Calendar will also be use. We will assist in the training needed to get the applicant up to speed with these programs.

MYOB/Account Edge is our accounting program. Previous knowledge of this program is helpful.

Excellent internet skills, including the use of email programs and browser search capabilities.

Good organizational skills and record keeping is crucial with on-going attention to detail.

Strong verbal and written communication skills.

Able to set priorities and manage workload.

MUST BE A SELF-STARTER WHO IS ABLE TO WORK INDEPENTLY WITHOUT EXCESSIVE SUPERVISION!

Current workdays are Tuesdays, Wednesdays and Fridays, 8:30 – 4:30. There is a possibility of more hours, depending on the abilities of the applicant.

Compensation: Depends on experience.
