Position Responsibilities

● Develops and maintains contacts with vendors.

● First point of contact for all office emergencies for employee emergencies, loss of power, leaks, servicing of air conditioning, elevator emergencies, heating.

● Coordinates seat moves and updates floor maps.

● Reviews monthly expenditures to ensure adherence to budget guidelines.

● Coordinates purchases and disposal of furniture and fixtures.

● Accommodates requests of staff for all office-related matters.

● Emergency Management: maintains & updates all phone lists, fire warden, searcher lists and first aid certification.

● Review and manage all changes for Firm Intranet.

● Coordinates with property management to facilitate staff requests.

● Reviews insurance certificates and facilities invoicing.

● Daily walk through of pantries, restrooms, gallery, review of all desks to make sure they are cleaned.

● Scheduling of maintenance cleaning, painting and monthly office wide cleanup.

● Identifies all weekend projects for Office Services staff.

Leadership Responsibilities

● Inspires and leads others by example, participates in staff mentoring and training, clearly defines team member expectations and responsibilities, empowers others, and delegates where appropriate based on team members’ recognized abilities and potential.

● In collaboration with team members, contributes to a clear and consistent work plan to achieve the project budget, deliverables, and schedule.

● Actively engages in internal professional development opportunities.

● Contributes to the implementation of sustainable strategies in all project assignments and the associated development of staff knowledge.

● Contributes to the development of standards, policies, and procedures.

● Protects SOM from financial and legal risk.

Minimum Qualifications

● College degree preferred or equivalent knowledge, skills and abilities.

● Minimum of 4 years experience as an office operations/administrative professional or equivalent knowledge, skills and abilities.

● Minimum 2 years supervisory experience.

● Experience in architecture is preferred.

● Extensive knowledge of Microsoft Office and Google Workspace.

● Excellent leadership, interpersonal skills, communication skills, both oral and written.

● Ability to interact with all levels of staff and Partnership.

Compensation for this role is based upon experience, qualifications, location, and education and typically ranges from $70,000 to $80,000.
