We are looking for Scheduling Coordinator to join our dynamic and growing team. We are looking for someone who is relentlessly detail-oriented and enjoys problem-solving. As the Scheduling Coordinator, you are responsible for:
-Scheduling/Dispatching our Technicians for all residential field jobs
-Coordinating jobs directly with customers & contractors and accommodating their timelines as best as possible. We work on tight deadlines so working with a sense of urgency is a MUST.
-Keeping customers updated on the status of their projects - you need to have good follow-through and understand the importance of communication.
-Having a good grasp of the technical aspects of our projects - the job involves much more than simply plugging appointments into a schedule. You will learn about the glazing industry, materials, and methods.
-Working directly with our Commercial & Residential project managers to coordinate those jobs into the schedules.
-Being the "last set of eyes" to review glass shop fabrication Purchase Orders to ensure they are made correctly and to specification - you have to LOVE details!
-"Closing out" competed jobs in our software and submitting to Billing Team
-Providing follow-up on completed jobs to ensure our customers are happy
-Providing support to the Technicians; you're their main point of contact when they're in the field.
-Providing an exceptional "last impression" on our Customers - you are the last person they interact with before their job is invoiced.
-Although scheduling jobs will be your main responsibility, you will also assist with customer service like answering phones, assisting customers, etc. The ideal candidate is willing to learn new tasks and take on additional responsibilities as needed.
Skills Need to Win:
-Be analytical - you don't need to be a math-whiz, but you need to be able to review detailed information and catch things that don't add up
-Have a problem-solving mindset - if things don't go right, do you enjoy coming up with solutions for what to do next
-Be obsessed with details - triple-checking is the norm around here!
-Be fluid and able to adapt to unexpected situations - things in the field change often! Schedules change, timelines change - can you adjust to that?
-Thrive under high-pressure, sometimes demanding conditions (typical of working in construction). Be the eccentric person who just loves coming through in high-pressure situations! If being in the pressure cooker just gives you more flavor, you'll do great!
-At least (1-2) year office/clerical experience (preferred) - no, texting on your phone doesn't count.
-Experience with Microsoft Office Applications (Word, Excel, Outlook)
-High level of personal, written, and phone communication skills - manners go a long way!
-Able to work independently and within a team - we help each other, but you are ultimately responsible for your role
-Responding to feedback well and taking initiative
-Being willing and able to wear multiple “hats” when needed
