As an Admin Assistant, you will play a vital role in ensuring the smooth and efficient operation of our office. This is a fantastic opportunity to contribute your skills in a friendly and supportive work environment.
Skills and Qualifications:
Bachelor's Degree preferred
At least 3-5 years of office administration and administrative support, ideally with a property management/real estate background.
Excellent computer skills using MS Word and Excel; Google Docs; Dropbox; Asana task management software. Preferable experience with AppFolio property management software
Strong phone and communications skills
Bilingual in Spanish (a plus, but not mandatory)
Clean driving record
Confident self-starter who can work proactively to complete tasks with efficiency and accuracy
Takes initiative and able to receive feedback while working as part of a team
Job duties & Responsibilities
Assist with maintenance schedules by prioritizing and assigning work orders
Coordinate work order requests with tenants and maintenance crew
Onboarding and offboarding tenants to ensure smooth unit turns involving key elements such as: inspections, repairs, keys, signage, cleaning
Assist with marketing materials for listings of available units for rent
Update and maintain property management data in AppFolio
Order specific signage as needed for each property
Research and order products and tools for repairs, maintenance and construction
Assist with bookkeeping tasks such as credit card reconciliation, accounts payable, accounts receivable, timesheet data entry and document scanning
Use a tracking system for recycling construction materials for reporting to City of Oakland
Coordinate with tenants for any utility install and resolve any issues with utility companies
Maintain office equipment and re-order supplies when necessary
Troubleshoot basic technical issues such as printer, modems and computer problems
Assist with receiving and returns of deliveries and packages
Digitize and shred old documents
Various other ad hoc tasks
