Description We are seeking an Administrative Assistant for our CPA Firm in Portland, Maine. This role involves ensuring smooth office operations while providing support to our management team. As an Administrative Assistant, you will be expected to exhibit strong organizational skills, multi-tasking abilities, and a diligent work ethic. This is a contract to hire employment opportunity.Responsibilities: Manage and maintain schedules, appointments, and travel arrangements. Answer and manage incoming calls and correspondence, including emails. Perform general clerical duties including photocopying, faxing, and mailing. Use Microsoft Office Suites to prepare and modify documents including correspondence, reports, drafts, memos, and emails. Handle requests for information and data, ensuring all are accurately and timely responded to. Assist in the preparation and coordination of meetings and conferences. Maintain office supply inventories and coordinate maintenance of office equipment. Coordinate project-based work and review operating practices, implementing changes where necessary. Exhibit professional communication skills in all interactions. Maintain a clean and organized work environment. Requirements Proficient in Microsoft Office Suites, including MS Excel and MS Word Ability to multitask and prioritize workload efficiently Excellent communication skills, both written and verbal Experience in answering multi-line phone systems in a professional manner Demonstrated ability to manage email correspondence effectively Previous experience in an administrative role within a CPA firm or Business Management industry would be advantageous High level of organization and attention to detail Ability to work in a team environment and contribute to team goals.
