Top global private equity firm is seeking a Temporary Executive Assistant to provide administrative support to a top executive at the firm for a maternity leave coverage. This role will begin end of July and will go into the new year. Hours are 9am-6pm with flexibility for overtime as needed. This will be in office 4 days per week with 1 day work from home - must be able to go in office on Fridays as needed. Hourly rate is up to $50/hr.Responsibilities:Schedule and organize meetings, conferences and off-sites including all related logistics/materials - pro-actively address conflicts and exercise strong judgment based on priorities, seeking guidance as neededArrange complex travel plans and compose detailed itineraries, obtain necessary travel documents and visa coordinationScreen incoming calls and greet guests in a professional and courteous mannerAllocate and process expenses for executives, including American Express and Out of Pocket expenses using the Concur expense management systemUpdate DealCloud with relevant meetingsHandle recruitment coordination and logistics for new employees on the teamPrepare and edit relevant materials for team, including Word Documents, and Excel SpreadsheetsCoordinate closely with team and other assistants to provide phone coverage and back-up assistanceEstablish, develop, maintain and update filing systemCompose strategic communications such as letters, memos, invitations, agendas and correspondence related to all projects and on behalf of executives. Edit for accuracy and clarity of final copy; proofread for spelling, grammar, format for consistency and make the appropriate changesManage work priorities independently and respond to business outside of normal business hours as neededPerform other related general administrative tasks for executives as assigned and required Use US Mail, FedEx, and other services to send and track priority mailQualifications:Bachelor's Degree and 5+ years of administrative assistance experience or training, or equivalent combination of education and experienceAbility to thrive in a fast-paced and rigorous work environment; demonstrated ability to prioritize competing demands and meet deadlinesAbility to switch gears easily and demonstrate flexibility in different coverage assignmentsStrong initiative and ownership of responsibilities - Must demonstrate a proactive, positive attitude towards given tasks, plan ahead for potential issues and take appropriate actionExemplary interpersonal skills necessary to handle sensitive and confidential situations. Role continually requires demonstrated poise, tact and diplomacySuperb written and verbal communication skills.
