New York, New york city 00000 New york city USA

All Country Estate Sales (ACES.net) is one of the fastest-growing local-market auction companies, serving clients in transition through auction, direct sale, donation, and disposal services. We are a full-service auction company specializing in estate collections, antiques, fine art, jewelry, and design. We handle everything from cataloging and marketing to client pickup, with a reputation for careful detail and a thoughtful approach.

THE ROLE

This is an entry-level role with growth potential, ideal for someone eager to gain hands-on experience in the arts and antiques world while developing professional skills in client communications and auction administration.

The position begins as an initial 3-month engagement during our fall auction cycle, with the opportunity for permanent hire if it’s a strong mutual fit.

The Auction & Administrative Assistant will focus primarily on administrative and client-facing tasks, with the opportunity to grow into supporting and coordinating our timed online-only auctions. Cataloging, photo editing, and research will be secondary areas of contribution as experience builds. We’re seeking curiosity, drive, and attention to detail: not just a desk worker, but someone who wants to grow into a key member of our team.

RESPONSIBILITIES:

Administrative & Client Support (Primary)

Monitor and respond to bidder and client communications (email, phone, and messaging platforms).

Help track the progress of timed online auctions and support key deadlines to ensure smooth publishing and completion.

Track invoices and payments; liaise with third-party shippers.

Prepare and update pickup spreadsheets, calendars, and shipping coordination.

Support day-of-auction and pickup logistics as needed.

Cataloging & Auction Production (Secondary)

Contribute to the creative flow and layout of auction catalogs, helping organize lots by material, style or value.

Create and edit item listings in auction software.

Research artists, designers, and makers using online databases and auction records.

Edit and refine auction images in Photoshop/Adobe Express to ensure items are presented clearly and attractively to bidders.

QUALIFICATIONS:

Required:

Genuine interest in antiques, art, or design.

Comfort communicating professionally by phone and email.

Strong written and verbal communication skills.

Highly organized with excellent attention to detail.

Ability to balance multiple tasks and shift priorities in a fast-paced environment.

Proficiency with basic office software (Outlook, Excel/Sheets).

Preferred:

Customer or client-facing experience (retail, gallery, hospitality, office support).

Familiarity with Photoshop or other image editing tools.

Prior exposure to auctions, galleries, or museums (professional or academic).

Strong research skills and intellectual curiosity.

COMPENSATION & SCHEDULE:

Part-time: typically 24–28 hours/week, Tuesday–Friday schedule preferred.

Flexibility to work additional hours during auction cycles.

Compensation: Starting at $22–26/hr during the initial training period, with opportunities for growth to $27–30/hr within the first year. Candidates with significant prior auction industry experience may be considered for higher rates ($30–35/hr).

This role begins as an initial 3-month engagement during our fall auction cycle, with the opportunity for permanent hire based on performance and fit.

WHY JOIN US?

Work alongside a passionate team that takes pride in thoughtful, well-executed projects. This is a hands-on role where you’ll learn the inner workings of the auction business while gaining practical skills in client communications, logistics, and cataloging.
