Hybrid Administrative Assistant IIIAPPLY About the Department of EntomologyThe Department of Entomology has a threefold mission: to study insect biology, offer comprehensive undergraduate and graduate programs, and educate the public about arthropod-related issues. The department is staffed by 27 faculty and senior academics in Ithaca and 7 at the Geneva campus.For more information about the Department of Entomology, please click The OpportunityThis opportunity involves supporting extension and outreach programs by improving client outreach and measuring impact. Responsibilities include managing website data, enhancing social media communications, and providing technical support for recording and posting online seminars on the department's website.Key ResponsibilitiesCustomer Interaction: Be the friendly face and primary point of contact for our valued customers. Handle inquiries, provide information, and direct complex questions to the right resources.Administrative Expertise: Establish and maintain filing systems, databases, and assist with annual faculty and student allocations. Help prepare essential documents for budget reviews.Purchasing Coordination: Coordinate and support purchasing processes, ensuring smooth operations.Inventory Management: Conduct equipment inventory via our state-of-the-art database, keeping our assets in check.Financial Transactions: Serve as a liaison between Entomology and the Shared Service Center (SSC). Ensure all financial transactions are accurate, allowable, and reasonable.Quality Control: Review all requests and receipts for completeness and accuracy before submission. If something seems questionable, you'll be part of the team that investigates.Supporting Academic Staff: Assist our academic staff in preparing travel reimbursements and other financial transactions, contributing to the success of our programs.What We NeedFormal training beyond a high school diploma, lasting 6 months to one year.Experience with Microsoft Office applications.Excellent customer service skills, with a proven ability to communicate effectively with a diverse range of people.Strong attention to detail, ensuring accuracy in tasks.Exceptional organizational skills to manage multiple responsibilities.Capacity to work efficiently and remain effective under pressure.Proficiency in using judgment to handle urgent or confidential tasks.Skill in balancing conflicting priorities.Ability to make decisions from a range of choices while adhering to established policies and procedures.If you have all those things, great!
