Assistant Director, Donor Relations

Job Summary: Manage the donor-centric events and stewardship of Ithaca College donors. Oversee donor centric events to include coordinating and managing, preparing communications, and serving as the primary point of contact for program participants. Coordinate donor relations signage on campus, ensuring new signage is produced and an up-to-date inventory is maintained.Job Responsibilities:

Manage donor centric events of varying sizes. Oversee logistics of events to include day of, pre- and post-event wrap up. Coordinate appropriate stewardship materials for attendees, speakers, VIP guests.

Direct event staffing schedule for donor centric events. Confirm event attendance of faculty, staff, volunteers, the President, and senior administrators. Ensure a detailed event packet is prepared and provided to appropriate attending staff to include logistical information. Work with the Director of Strategic Planning to create briefing materials for the President and senior administrators as appropriate.

Work with prospect and volunteer managers to recruit volunteers to assist with events as necessary. Work in tandem with the regional events program and regional volunteers as appropriate.

Prompt appropriate colleagues to ensure event follow-up is managed in a timely manner, including coding participants in the database, managing follow-up with constituents, sending thank you notes and emails, posting photos to the web, and producing reports and correspondence. Lead post-event debriefing meetings to ensure important interactions with prospects and volunteers are captured and communicated.

Manage donor relations signage on campus to include drafting appropriate language for review by Marketing and Communications, and ensure signage production and installation. Maintain a list of named spaces and facilities on campus that includes the background of the donor(s), dates of the initial gift for each named space and facility and successive gifts, where appropriate.

Manage swag and stewardship materials, including oversight of consistent use of items, maintaining an inventory, and overseeing sign out process.

Assist with donor relations strategies for all donors and relatives of donors (when appropriate) of leadership gifts plus, planned, major, planned, and principal gifts, including those for endowments, capital projects, and restricted use, in consultation with prospect managers when appropriate.

Provide assistance with stewardship correspondence regarding donor established funds to include annual endowment and restricted fund reports, notification of scholarship recipients and thank you notes.

Assist with drafting new fund and gift agreements, working with the AVP of Philanthropy and prospect managers. Track the progress of agreements, from requests to completion. Ensure allocations are updated with proper coding and information to ensure stewardship of the funds.

Provide support to the Friends of Ithaca College program to include assisting with coordinating events and preparing special announcements. Work in collaboration with the Office of Alumni Engagement for coordination of efforts to support the Friends program.

Assist with Ithaca College gift receipts for donors, answering inquiries, following up on requests, and ensuring gift modifications are processed if requested.

Participate in budget proposal preparation in conjunction with the AVP of Philanthropy.

Participate in and support other events sponsored by the Philanthropy & Engagement Division.

Provide support and oversight to ensure consistent stewardship, engagement, branding and messaging for programs such as the Founder’s Circle, Blue & Gold Society and the Friends of Ithaca College in cooperation with the associated staff members assigned to those programs.

Develop and demonstrate a multicultural awareness and contribute to cultivating an inclusive, diverse and respectful College community. Demonstrate civil and inclusive behavior when interacting with staff, faculty, students and visitors to the College. Promote a flexible, collaborative and inclusive work and living environment and engage in educational opportunities to increase awareness and understanding of diversity and inclusion.

Perform other duties as assigned.

Qualifications: Bachelor's degree and a minimum of two years' experience in development, alumni relations, or related field. Experience working in a college or university setting, and event management of various scales experience preferred. Ability to work independently, excellent attention to detail, self-motivated, strong organizational, interpersonal, and communication skills and the ability to effectively work and interact respectfully within a diverse and inclusive environment; ability to plan, develop and implement activities, programs and special events; experience maintaining and reconciling office and events budgets; flexibility to work evenings, weekends, and travel; strong working knowledge of various word processing, spreadsheet, and database software applications are required.
