Position Overview:

The Youth Programs Coordinator responsible for implementing visual art programs that engage youth from 0 -17 years old. The key goals of this position are to coordinate high-quality visual art education activities for children, families, and youth teachers through a variety of creative programs, including after school programs, art camps over school breaks, field trips and outreach programs, family-friendly activities, exhibitions, and events, and professional development. The Youth Programs Coordinator will be responsible for teaching some youth art programs, caring for children, supervising seasonal youth assistants, coordinating the scheduling and day-to-day operations of youth programs, and supporting the programs team.

The role involves scheduling, coordinating instructors and preparing outreach materials, and maintaining communication with stakeholders via email and other digital platforms. The Youth Programs Coordinator is responsible for managing tracking participant data, ensuring compliance with grant and funding requirements. The position requires extensive use of spreadsheets to organize events, track budgets, and monitor the progress of various youth programs.

Position Details:

Status: Regular Full-Time Employee, Exempt

Schedule: 40 hrs per week; 8:30am – 4:30 pm with a few required weekends and evenings; required to be available during all Spring, Summer, Fall, Winter Camp Kaluanui sessions (generally following the DOE schedule)

Qualifications:

The ideal candidate is a versatile team player with excellent communication and time management skills and who is able to establish and maintain positive working relationships with families, children, schools, teachers, youth community organizations, and Hui staff. Candidates must have strong interpersonal, multitasking, computer, and organizational skills and be able to work in a fast-paced environment with a positive attitude. Candidates must be able to teach high-quality group visual art activities for children and move supplies/tools/equipment of 50lbs.

At least three years’ experience working with youth is preferred. Experience and education in early childhood education, general education, and visual art is required. The ability to work a flexible schedule is a necessary qualification for employment. Hours of work and the scheduling of breaks will be determined by the Executive Director and/or the Programs Manager. A criminal history background check and state child abuse and neglect screening is a condition of employment. Responsibilities:

Coordinates all aspects of all youth programs for the organization year-round, including planning, implementation, supervision, and post-program reviews/reports. Programs/activities include: Camp Kaluanui (held over school breaks during winter, spring, summer, and fall), field trips, outreach programs, special events, after school programs, youth art exhibition, and any other youth programs held throughout the year.

Plans, schedules, and oversees age-appropriate curriculum/project development for all youth classes and programs

Teaches art classes, leads outreach activities, and develops curriculum for youth as needed, teaching at both on-site and off-site community partner locations

Provides care/supervision, oversight, and accountability for children and youth participating in program activities

Assists with maintaining the cleanliness and safety of indoor and outdoor environments

Engages, connects, and interacts with the youth enrolled in the program and their families

Develops and maintains effective, collaborative relationships with other Hui staff, teaching artists, and community members

Maintains data collection requirements at the direction of the Program Manager and Development Director to ensure that appropriate records are kept for assigned projects, activities and grant reporting

Schedules youth teachers and reserves art studios; enters/maintains accurate records in organizational calendar, class database, and organization’s website

Communicates with Hui Staff, Teaching Artists, students, parents/guardians, school teachers, seasonal assistants, volunteers, and community members via phone calls, emails, and meetings, and class attendance

Coordinates the appropriate set up/break down of classrooms and activities (or sets up and breaks down of classrooms as needed)

Orders supplies and organizes supplies for all youth programs and related activities and events; ensures classrooms/studios are adequately stocked with supplies for upcoming classes; organizes dedicated supply closets; tracks and monitors supplies (ongoing)

Oversees curriculum, ordering of supplies and assembly of Art Kits

Keeps track of class enrollment and participation numbers for marketing and grant reporting

Assists with reporting for youth programs-related grants

Creates and distributes forms and maintains paperwork, including waivers, evaluations, sign in sheets etc. for all youth programs

Promotes Hui programs to students and community members

Performs other clerical duties as assigned by Programs Staff

Assists in registering students for classes as needed

Supports the Programs team and Hui staff in organizational activities as needed
