The Administrative Assistant works directly for the Resident / General Manager. Work hours are full time morning shifts and days may vary. Is responsible for the registration of all new residents and input the data into the computer. Maintain the neatness and cleanliness of the office environment and other general office duties as directed by the Resident / General Manager. Answers the phones, filing, place orders for the office, housekeepers and maintenance department. Process invoices, debit card purchases, check deposits and check requests. Maintain the up to date list of residents onto the data base. Work with entry phones (Kerri system), copy machine. Ensure that all the filing cabinets are unlocked at the start of the shift and secured at the end of the day. Keep accurate records of funds collected for the elevator, cabana and conference room use. Monitor emails though out the day and respond accordingly. Take down precise messages. Maintain inventory of office and housekeeping supplies. Keep all three (3) bulletin boards in A, B and C buildings up to date, neat in appearance and organized. Display a cheerful and positive attitude. Must be reliable and on time. Excluding urgent personal matters, conducting personal business, phone calls, emails, etc. during normal working hours is prohibited.
