Position Title: Administrative Assistant

Location: Kakaako, Oahu

Position Type: Full-Time, In-Person (Monday through Friday)

Salary Range: $40,000 - $60,000 annually, based on experience

Position Description: As an Administrative Assistant, you will play a vital role in ensuring the smooth and efficient operation of our office. This position requires a friendly, approachable individual who can multitask, stay organized, and thrive under pressure. You’ll be responsible for handling a variety of tasks that range from office management to client interaction. While experience with either Apple or Windows-based computer systems is preferred, we’re happy to train someone who is eager to learn.

Key Responsibilities: Office Operations & Maintenance: Open and close the office, ensuring it is clean, organized, and welcoming. Oversee kitchen and break room upkeep, including supply restocking and light cleaning duties. Manage mail and package distribution.

Communication & Client Relations: Answer phone calls, direct inquiries, and ensure effective communication across the office. Greet and check in clients and guests with professionalism, ensuring all needs are met.

Scheduling & Coordination: Manage and update the office calendar, including conference room bookings and client appointments. Assist with various project tasks as needed to support the team.

Administrative Support: Assist with onboarding new agents, preparing and distributing materials, and maintaining records. Handle incoming and outgoing mail, including coordinating deliveries and preparing shipments.

Inventory & Supplies Management: Monitor office supplies, order replacements as needed, and ensure efficient stock levels. Handle routine administrative duties like processing business cards and maintaining records for payments.

Monthly Administrative Tasks: Support monthly reporting, prepare and distribute necessary documents, and assist with financial record-keeping such as deposits and invoice tracking.

Qualifications: Previous experience in an administrative or front desk role is preferred.

Exceptional communication skills, both written and verbal.

Ability to multitask, prioritize, and manage time effectively.

Strong organizational skills and attention to detail.

Proficiency with Apple-based computer systems is preferred, or willingness to learn.

A friendly and professional demeanor with a positive attitude.

Ability to perform well under pressure, especially during peak periods.
