Office Manager/Administrator (Oakland North/Temescal)
A growing, established Construction Company located in Oakland is accepting
resumes/applications for the above position. The person who fills this position
must be very detail oriented and able to work without a great deal of supervision.
After becoming familiar with the daily operations and procedures they will be
expected to keep themselves productive. The environment is a small office in an
industrial setting near the McArthur BART station. It is an informal office with
parking available. The applicant must have dependable short distance
transportation, a valid drivers license and an acceptable DMV record.
General Duties:
Answer phone, take concise messages, schedule appointments for estimator,
return calls, schedule building inspections when requested and respond to
inquiries.
Perform regular errands as needed: pick up and drop off mail at local post
office and purchase office supplies as needed. Keeping track of what needs to
be restocked is part of the job.
Fax & email correspondence to clients, vendors, etc.
A small payroll is to be done bi-weekly.
Keep office records, A/R & A/P processing and assist in bookkeeping. Other
tasks as requested by owner & the job foreman.
Create all Estimates, Contracts & Invoices for clients as each job progresses.
Skills Needed for Position:
Capable of working with MS Office applications. Excel, Outlook and Word
will be used most frequently. We will assist in the training needed to get the
applicant up to speed with these programs.
MYOB/Account Edge is our accounting program. Previous knowledge of this
program is helpful.
Experienced administrative professional who is dependable and highly
organized with business maturity, enthusiasm and a positive attitude a must.
Technologically literate with strong computer skills, including MS and other
commonly used software.
Excellent Internet skills, including the use of email programs and browser
search capabilities.
Good organizational skills and record keeping is crucial with on-going
attention to detail.
MUST BE A SELF-STARTER WHO IS ABLE TO WORK INDEPENTLY
WITHOUT EXCESSIVE SUPERVISION!
Strong verbal and written communication skills
Able to set priorities and manage workload.
Current workdays are Tuesdays, Wednesdays and Fridays, 8:30 – 4:00. There is a
possibility for more hours, depending on the abilities of the applicant.
Compensation: Depends on experience.
