Billing Administrator

We have an opening for a Billing Administrator; specifically experienced in the construction industry. The Ideal candidate would have basic knowledge of QuickBooks, construction contracts, change order, Conditional & Un-Conditional Releases, Insurance certificates, Preliminary Notices and AIA billing format.

Duties and Responsibilities:

Coordinate with Contractors regarding invoices, billing date, payment, Release, etc.

Entering Subcontractor invoices into an AIA format and other portals; Textura, Pro-Core, GC Pay, LCP Tracker & QuickBooks

Review and track contract values, change orders and monthly releases.

Verify Subcontractor monthly billings per project, including necessary backup by due dates and requirements.

Ensure that contract document requirements are met throughout the project duration.

Receive, research, and respond to difficult or complex billings and request invoices from Subcontractors to bill labor, material and field tickets.

Ability to handle multiple projects simultaneously, and the ability to meet designated deadlines.

New job set up, Preliminary Notices, Insurance Certificates, Schedule of Values Spreadsheet.

Preferred Education, Experience, And Skills

Comprehension of construction related contracts, AIA billings, lien release, Insurance Certificate, Preliminary Notices, Textura, Pro-Core, GC Pay, LCP Tracker.

Proven experience in a construction atmosphere with billings and collections.

Understanding of Billing and invoicing, preferable within the construction industry.

Computer skills: Outlook, Word, Excel, PDF from filler software, Chrome or Edge, Online Banking systems.

Experience using and knowledge of QuickBooks Enterprise Solutions Contractor 23 (Required)

High School Diploma or equivalent

Some College (Preferred)

Meticulous attention to detail

Excellent organizational and time management skills.

Excellent communication and numerical skills

Strong customer service skills

Ability to take direction, prioritize, problem solve, multi-task, and work under time constraints.

Ability to work in a team environment, as well as independently.

Previous office experience, minimum 2 years.

Basic understanding of accounting principles.
