Hours: Monday through Thursday, 8:30 am to 5:00 pm, Fridays, 8:00 am to 4:00 pm

Job description

Arizona Culinary Institute is seeking a dedicated and reliable individual to join our team as our Accounting Assistant. This position plays a vital role in supporting the Institute’s paying and receiving functions within the accounting department and will report directly to the school’s Controller.

Responsibilities:

Cash/POS Management:

- Monitors and records daily bookstore and restaurant POS transactions into accounting system utilizing proper clearing account(s).

- Manages and records all petty cash, restaurant, and bookstore cash register activity, ensuring proper daily transactional liquidity between all three cash drawers.

- Initiates bank transfers to move federal student aid funds to the school’s operating bank account and records into accounting system.

- Manages and reconciles daily bank transactions utilizing accounting system’s bank feeds functionality.

Accounts Receivables:

- Posts 3rd party check payments to student subledger, makes remote bank deposits and posts to accounting system.

- Monitors, manages, and posts student credit card payments through various POS Systems to student subledger and accounting system.

- Records payments and manages student accounts receivable balances and assists with issuing payment plan notes utilizing external servicer or internal servicing platform when required.

- Timely calls/emails/mails notices/letters to students whose accounts are past due.

- Monitor past-due accounts and assists the Controller in determining the best strategy for collecting past-due payments utilizing third-party collections agencies. - Answer former student inquiries (not active student) related to outstanding balances, financing, or refinancing.

-Creates invoices for 3rd party payors and group reservations.

-Manages restaurant reservation deposit schedule.

Accounts Payable:

- Manage accounts payable vendor/supplier transaction entries utilizing both Bill.com and accounting system according to the Controller’s current and evolving process to support better efficiency as well as to ensure the proper separation of duties throughout the disbursement process.

- Records pre-paid transactions into accounting system

- Maximize the conversion of check payments to electronic payments within Bill.com A/P platform.

- Monitor student credit balances in student SIS and initiate refund checks accordingly.

- Responds to Credit Applications requests and manages key vendor relationships accordingly

- Manages, records, and pays ACI monthly Sales Tax

General Functions:

- Records monthly inventory transactions into accounting system and monitors various count schedules.

- Serves as co-administrator for POS system by maintaining products, customers, etc…

- Manages restaurant gift certificate schedule

- Provides general administrative support to President as needed.

Qualifications:

General Clerical Experience, 3 -5 years (Required)

QuickBooks Online, 3- Years (Required)

MS Excel Experience, 1- Year (Required)

Bill.com A/P Experience, 1 year (Preferred)

POS Administrative Experience, Restaurant, 1- Year (Preferred)

Registered Notary (Preferred)

Is able to listen and follow detailed instructions.

Prioritizes responsibilities effectively on a daily and monthly basis.

Takes initiative/ownership and completes projects timely.

Will always conduct themselves in a professional manner.
