Business Operations Coordinator – Residential – MRA (Seattle)

MRA (Miovic Reinhardt Associates) seeks a Business Operations Coordinator to join our team. The position tracks and manages key aspects of company operations, including HR processes, office administration, accounting support, subcontractor and vendor compliance, safety and accident reporting, and logistics management. This role ensures business functions run smoothly by maintaining records, tracking compliance, and coordinating operational needs.

RESPONSIBILITIES

Business Operations & Compliance Tracking:

> Maintain and track key operational processes to ensure efficiency and compliance.

> Develop and manage internal tracking systems for business compliance and reporting.

> Assist in refining and improving company processes through data collection and reporting.

HR & Workforce Tracking:

> Oversee employee recruitment, onboarding, recordkeeping, and compliance.

> Track employee PTO, time-off requests, and benefits administration.

> Track employee review dates and Growth and Development Plan benchmarks.

> Coordinate employee training and development activities.

> Maintain accurate and up-to-date personnel files and HR compliance records.

Subcontractor & Vendor Management:

> Onboard new subcontractors and vendors, ensuring compliance with contractual requirements.

> Track subcontractor and vendor compliance, ensuring all documentation is current.

> Maintain an organized spreadsheet of approved vendors and subcontractors.

Safety & Incident Tracking (L&I Compliance):

> Maintain records of safety training, incident reports, and workplace injuries.

> Monitor worksite compliance by tracking safety logs, safety inspections, and safety kits.

> Assist with reporting workplace accidents and tracking L&I claims.

> Monitor return-to-work documentation and ensure compliance with safety regulations.

> Work with managers to document incidents and implement corrective actions.

Logistics, Asset, & Operations Tracking:

> Maintain company vehicle usage records, mileage logs, and maintenance schedules.

> Track assignment and return of company tools, ensuring proper maintenance.

> Oversee technology assets, including laptops, mobile devices, and software licenses.

Financial & Administrative Tracking:

> Handle incoming mail, sort, and distribute to the appropriate departments.

> Track and process any time-sensitive or compliance-related documents received by mail.

> Maintain records of important correspondence and ensure proper filing.

> Coordinate outgoing mail, including invoices, contracts, and compliance documents.

> Assist with processing invoices and organizing receipts.

> Manage office supplies, vendor accounts, and general administrative needs.

SKILLS / QUALIFICATIONS

> Strong organizational skills with an ability to track multiple moving parts.

> Familiarity with HR, safety, accounting, or logistics functions preferred.

> Proficiency in Google Suite (Docs, Sheets, Gmail)

> Experience with L&I claims is a plus.

> Ability to analyze data, create reports, and streamline operational processes.

> Strong communication skills and attention to detail.
