We are looking for an administrative assistant to provide support in ensuring efficient office operations. The variety of tasks would include:
Front desk: Greet visitors, answer the phone and transfer to proper contact, and handle incoming/outgoing mail and packages
Scheduling: Manage calendars, including customer appointments, and meetings for different departments
Correspondence: Draft, edit, and distribute letters, invoices, statements, emails, and faxes
Filing: Maintain physical and digital filing systems
Inventory: Track office supplies and order more when needed
Equipment: Operate and maintain office equipment, such as printers, copiers, scanners, and fax machines
Events: Help plan events
Databases: Input and update information in databases and spreadsheets
Works well with Google Suite: Docs, Drive, sheets, and Gmail
Some Accounting/bookkeeping would be helpful for reconciliations, invoice processing and statement reconciliations.
Administrative assistant should have strong organizational and multitasking skills, as well as the ability to work independently. They should also be able to handle confidential information with discretion. This job has a wide variety of tasks day to day. Some things are daily tasks while others are on an as needed basis. Must be proficient with a computer, typing, and Adobe Acrobat. We are a family owned and operated company that is looking for someone that would like to join us. We would like someone who is an effective communicator with both customers and coworkers. Must be able to operate smart phone and computer. Must be a motivated, and self-directed. Pay will depend on experience. We offer PTO, Medical, Cell phone re-imbursement, and mileage where applicable. Hours are 9am-4pm Monday-Friday with occasional extra hours as needed
