The part time Finance Assistant will support the Director of Finance with agency financial matters, including accounts payable and receivable, invoicing, the preparation of reports and financial statements, and employee benefits and payroll.

The ideal candidate will possess a strong attention to detail, accuracy, efficiency, self-motivation, organization, and time-management skills.

PRIMARY RESPONSIBILITIES:

A Finance Assistant must demonstrate a combination of technical expertise, interpersonal strengths, and a mission-driven mindset. Core responsibilities include:

Prepare journal entries, review, analyze, and reconcile general ledger accounts.

Reconcile bank statements, including the main operating account, to ensure accuracy in the general ledger.

Assist in month-end and year-end activities, including preparing 1099 forms and supporting financial reporting.

Support the agency’s annual audit functions by gathering documentation and ensuring compliance.

Assist with payroll entry and verification processes.

Recommend strategies to strengthen financial controls and improve existing processes.

Create and assist in the distribution of program-level financial statements.

Monitor expenditures to ensure compliance with funding restrictions and track spending within agency and program budgets.

Work with the Director of Finance to ensure adherence to operational guidelines, including Federal OMB Circular A-122, contracts, and agreements.

Support the annual budget, financial forecasts, and long-term planning efforts.

Routinely assess and identify opportunities for improvement, streamline processes, and support others in a team environment.

Seek and engage in ongoing professional development opportunities that support continued learning and performance in the area of finance.

Other duties as assigned.

CONFIDENTIALITY AND DISCRETION:

This position requires a high level of confidentiality, professionalism, and ethical responsibility. The Finance Assistant will have access to sensitive financial, personnel, and organizational information and must ensure its protection in accordance with agency policies, regulatory requirements, and legal standards. Maintaining discretion and exercising sound judgment in handling confidential matters is essential to upholding the integrity and trust of the organization.

REQUIRED TECHNICAL KNOWLEDGE:

Strong understanding of financial management practices in compliance with GAAP standards and nonprofit accounting principles.

Bachelor’s degree in accounting, finance, or a related field with relevant coursework in accounting.

Two to three years of professional experience in accounting, financial management, or related roles, preferably within a nonprofit setting.

Proficiency in digital record-keeping, accounting software, and Excel spreadsheets with the ability to analyze financial data effectively.

Experience with Abila MIP Accounting Software preferred but not required; willingness to learn new financial systems as needed.

Exceptional organizational skills and keen attention to detail, ensuring accuracy in financial reporting and reconciliations.

Strong written and verbal communication skills with the ability to convey financial information clearly and collaborate in a team environment.

Ability to work independently, prioritize tasks, and meet reporting deadlines within time-sensitive constraints.

WORKING ENVIRONMENT:

This is a 60% FTE position (22.5 hours per week). Work will be conducted in-person and based from our main office in Berlin. Desk-space will be in an office shared with another person. The Finance team is comprised of one full-time (100% FTE) Director of Finance and the Finance Assistant and works in close collaboration with Elevate’s leadership team.

All EYS staff participate in a monthly morning meeting and periodic staff development activities. Professional development opportunities are available, particularly those supporting the maintenance of licensing requirements.

This role involves operating standard office equipment, including keyboards, and requires close visual acuity for tasks such as viewing computer monitors, entering electronic data, and completing forms. Candidates must have the physical mobility to move short distances, carry lightweight materials, and drive a vehicle. Local travel, with occasional long-distance travel for professional development activities may be required.
