Job Summary

Reliable Fire Protection, a leading provider of fire safety solutions, seeks an experienced Administrative Assistant to join our esteemed team in Houston, Tx. As an integral part of our organization, you will undertake a diverse range of responsibilities, primarily focused on delivering exceptional customer service and ensuring the smooth functioning of our administrative operations.

Essential Duties and Responsibilities

Extend a warm welcome to visitors, both in person and over the phone, and adeptly handle inquiries by providing relevant information or directing them appropriately.

Provide comprehensive administrative and clerical support to our esteemed management team.

Execute data entry tasks meticulously, ensuring the maintenance of accurate and up-to-date records.

Facilitate the seamless processing of weekly work orders for our fire inspectors

Efficiently manage employee and project data, ensuring its accuracy and accessibility.

Compile, update, and disseminate various reports as required, demonstrating proficiency in data management.

Undertake the preparation, processing, and diligent monitoring of invoices, ensuring adherence to established protocols.

Maintain organized filing systems to streamline information retrieval processes.

Foster positive relationships with vendors by promptly responding to inquiries and ensuring effective communication.

Undertake any other duties as assigned, exhibiting flexibility and a proactive approach to tasks.

Qualifications

To excel in this role, you must meet the following criteria:

Possess impeccable professional communication skills, both written and verbal.

Demonstrate proficiency in administrative and clerical procedures, including word processing, square, email management, spreadsheet utilization, and record maintenance.

Exhibit advanced computer skills, particularly in the Microsoft Office Suite, google suite, and Windows operating systems.

Display a keen ability to quickly grasp and retain new information, facilitating efficient task execution.

Possess exceptional organizational skills, self-motivation, and a strong work ethic.

Maintain a positive and enthusiastic demeanor, thriving in a dynamic work environment.

Excel both as an independent worker and a collaborative team player.

Showcase robust problem-solving abilities and adeptness at managing multiple tasks simultaneously.

Demonstrate meticulous attention to detail and accuracy in all data entry and record-keeping endeavors.

Have a working knowledge of office equipment such as printers, scanners, and phone systems.

Monday to Friday 8am - 5pm, 25-35 per week

Work Location: In office

Pay: $12-18 DOE
