Accounting Specialist/ Admin Support

NW Employment is Partnered with a local Contracting company in the Wilsonville, OR area and we are looking to add an Accounting / Admin Support specialist to join our team!

SHIFT- Monday-Friday 8am-5pm – no flexibility available. IN OFFICE ONLY- NO HYBRID OR REMOTE OPTIONS

PAY- $25-$28/HR DOE

QuickBooks, Monday.com, Access, Microsoft office, accounting, bookkeeping experience preferred.

Listed below is a brief outline of job responsibilities that may include, but are not limited to the following:

Accounting:

Assist with day-to-day accounting tasks

Enter payables into QuickBooks and produce monthly & bi-monthly reports for prompt payments

Manage PO’s, etc. through accounting email

Record receivables into QuickBooks from regular mail, ACH, and direct deposits

Project cost accounting

Confirm customer billing information at time of invoicing and follow-up on receipt of invoice

Follow up with customers regarding accounts receivables

Retention tracking for large general contractors who withhold 5% of contract value until project is completed

Credit card and vendor statement reconciliation

Monitor and create purchase orders for all purchases

Obtain Notary Public certification for various documentation

Potentially assist with weekly payroll (including certified payroll for all State & Federal wages) o WA State L&I submittals to include intent to pay prevailing wages document and affidavit for wages paid

Work with outside accounting firm as needed

Additional accounting tasks as needed

Admin Support:

Phones & general customer service

RFQ (request for quote) data entry/customer information; receiving project details from customers via email and phone calls, necessary for estimator to complete proposals.

Set calendar meetings for estimators.

Sample preparation for delivery to laboratories.

Manage office supply and ordering.

Interaction with various vendors

Close-out files (including scanning & shredding of previous years)

Receive and sort incoming mail and deliveries, and manage outgoing mail
