Auto Body Office Administrator

The office administrative position is responsible for answering incoming calls and directing the caller to the appropriate destination with great customer service. Learning the filing system, invoicing and necessary steps required to handle in-process repairs and upcoming jobs alike, all in a fast-paced shop environment. Collecting timesheets from body shop employees and providing them to the Payroll Clerk while storing documentation.

Schedule: Mon-Fri, 8-hour shift

Experience: Automotive environment and/or parts: 1 year (Preferred)

License/Certification(s): Driver's License, clean driving record

Duties and Responsibilities:

● A commitment to delivering top-notch service to customers and vendors.

● An ability to expand knowledge with various automotive procedures and guidelines.

● Strong organizational and multitasking skills to apply in a production shop.

● Word and Excel familiarity and keen to learn the estimating program.

Required Skills and Abilities:

● Direct incoming calls to appropriate person, taking and relaying messages when applicable.

● Excellent communication working effectively with team members in all departments.

● Utilizes a parts management system to track parts incoming and outgoing.

● Checks and maintains inventory constantly in anticipation for in-shop and scheduled repairs.

Physical Demands:

● Able to stand for extended periods of time.

● Capable of handling parts ranging in size and weight.

● Must be able to perform duties without damaging parts.

● Occasional assistance loading and unloading oversized parts.

Minimum Job Requirements:

● Experience in a production shop environment is preferred.

● High school diploma or GED is required.

● Individuals must be authorized to work in the U.S.
