We are looking for a outgoing and organized Executive Assistant for a tech startup in Berkeley. This is still a pretty small team, which means the next hire will have an opportunity to make a very big impact. If you want to get involved at the ground level of something exciting, this job might be for you.

The company operates internationally and the team is virtual.

The Team is composed of entrepreneurs, scientists and technologists andd reflect the open and welcoming attitude. Most importantly, the team is filled with humble, hard-working people. In this role, you will naturally develop into the go-to person for the founder/CEO, and you'll be ready and willing to wear any and all hats. Depending on the day, you might go from Executive Assistant to Personal Assistant to Research Manager to Event Coordinator to Travel Planner to Admin to who knows what, AKA Whatever Needs to Get Done Behind the Scenes ASAP.

The work environment strongly emphasizes autonomy and personal accountability. We need an Executive Assistant who cares about what they do and how they do it and when they do it a sense of urgency is key. Someone who can swoop in and take care of the details, allowing them to focus on the bigger picture, the stuff that matters in running a successful startup experiencing very high growth. This means you should be comfortable and confident in getting things done without needing too much direction or approval. You should have a polished presence and a professional demeanor. You should be energetic and enthusiastic, with an innate ability to get along with everybody. You are ready and willing to wear any and all hats. You should be self-sufficient and scrappy, with the chops to own a complicated task from start to finish. You've never met a problem you couldn't solve resourceful might as well be your middle name. You don't just meet expectations, you exceed them.

RESPONSIBILITIES:

· Anticipating the needs of the founder/CEO and constantly/consistently staying two (or ten!) steps ahead.

· Taking high-level, potentially vague assignments and filling in the blanks, with little to no direction.

· Managing heavy flow of emails into inbox, including drafting correspondence, prioritizing what needs to be accomplished, and streamlining task management.

· Comprehensive calendar management (across multiple time zones) including appointments, meetings, interviews, and other scheduling.

· Booking complex domestic AND international travel arrangements for the cofounders, including hotels, flights, cars, restaurants, and more.

· Supporting the founder in various encounters with clients, such as conferences or potential partnership meetings.

· Building and maintaining great relationships with people at all levels, from the travel agent to the newest multi-million dollar client.

· Generating and maintaining files, while handling confidential information with utmost discretion.

· Following-up and following-through on all action items.

· Staying on top of ever-changing priorities and projects.

QUALIFICATIONS:

REQUIREMENTS:

· Experience in a fast paced environment is a MUST.

· Experience in a related industry (media, technology, internet) and/or prior experience in a startup is a BIG PLUS.

· At least one to two years of relevant prior experience is required, e.g. in a role such as Executive Assistant, Personal Assistant, Operations Manager, Chief of Staff, Administrative Assistant, Research Assistant, Office Manager, Project Manager, Event Planner, Community Manager, Account Manager, Event Coordinator, Customer Support Associate, Client Relations, Business Development Manager, etc.
