Job Overview:
We are a small accounting firm seeking a detail-oriented and highly organized Office Manager with strong bookkeeping and payroll experience. In this role, you will handle a variety of administrative, financial, and payroll duties to support our team and clients. You will play a key role in maintaining accurate financial records, processing payroll, and assisting with day-to-day office functions.
Key Responsibilities:
Payroll:
Process payroll for multiple business clients ensuring accuracy and compliance with local, state, and federal regulations.
Bookkeeping:
Maintain accurate records of financial transactions including general ledger entries.
Reconcile bank statements, credit card statements, and other financial accounts.
Prepare and process monthly and quarterly financial reports, including balance sheets and profit & loss statements.
Prepare and file payroll taxes and ensure timely payments to relevant authorities.
Office Management:
Oversee day-to-day office operations, including assisting in handling phone calls, emails, and client inquiries.
Manage office supplies, inventory, and ensure a well-organized, efficient workspace.
Administrative Support:
Process electronic filing of tax returns and monitor status
Communicate with clients regarding billing, financial questions, or other administrative matters.
Support with general administrative tasks, such as filing, correspondence, and document management.
Ensure the office maintains a positive, professional atmosphere.
Qualifications:
Proven experience in bookkeeping and payroll processing (2+ years preferred). Knowledge of payroll systems and tax compliance.
Proficiency with accounting software (QuickBooks) and Microsoft Office Suite (Excel, Word, Outlook). No tax experience necessary.
Excellent organizational, time-management, and multitasking skills.
Strong attention to detail and ability to maintain confidentiality.
Excellent verbal and written communication skills.
Ability to work independently and as part of a team in a fast-paced environment.
A positive attitude and proactive problem-solving approach.
Education:
High school diploma or equivalent required.
Associate’s degree or certification in accounting, finance, or related field preferred.
