GENERAL PURPOSE:Provides primary administrative support to the Laboratory Safety, Occupational Safety and Institutional Biosafety Committee Units of EH&S as well as the Asbestos Control and Environmental Compliance Units ; provides backup support to remainder of the department as needed.This position necessitates independent judgment, excellent problem-solving skills, strong customer relation skills, and an ability to communicate effectively and comfortably with all levels and departments of the University from the most senior level to include students, faculty, and staff. This person must have the ability to adjust to changing priorities as well as to work independently and multi-task, while maintaining attention to required deadlines. Attention to details is essential.RESPONSIBILITIES:

Provides office support for assigned units, including unit-specific routine purchases, mileage reimbursements, and tracking time off requests. Assists in arranging various unit-related meetings, prepares and distributes agenda, reserves meeting rooms, and arranges travel and other accommodations as needed. Coordinates re-calibration of monitoring equipment with Occupational Safety staff.

Assists with the Institutional Biosafety Committee (IBC) meetings. Prepares agenda, assembles protocols for posting on the IBC secure site, attends IBC meetings, and transcribes meeting minutes for distribution. Maintains records for IBC membership, protocol tracking, attendance, training records, and department population for use on the annual reports. Supports for IBC Documentation review. Communicates timely via e-mail/phone with PI’s and support staff for IBC questions concerning document submission for IBC review. Updates pertinent IBC information for sharing on the University web pages.

Supports the UCAR Protocol Review process. Obtains UCAR protocols for review by EH&S staff and the Biological Safety Officer. Documents those protocols where written reviews are completed and forwards the reviews to the PI, their associate, and the UCAR office. Retains records electronically for retention purposes.

Assigns employee incident and injury reports received within the event reporting system to the respective EH&S staff for follow-up and review. Documents student and affiliate injury reports for non-employees who lack access. Compiles and distributes injury summary and detailed reports as requested.

Verifies annual laboratory safety training compliance with the PI’s lab registration. Updates lab personnel lists and accesses MyPath and HRMS for validation.

Answers phone calls and distributes service requests for all units within the department. Fills in for other departmental support staff as needed

Other duties as assignedRequirements:

AAS degree in secretarial science or relevant field,

3 years of progressively responsible experience in administrative support or an equivalent combination of experience and education.

Excellent computer skills with Word, Excel and PowerPoint required.

Ability to work independently, with accuracy, attention to detail, strong organizational skills and excellent oral and written communication skills and a professional telephone manner are required.
