We are seeking a highly organized and personable Front Office Manager/Receptionist to join our team and serve as the face of our practice. Job Summary:

The Front Office Manager/Receptionist is responsible for managing the daily operations of the front office, ensuring a smooth and efficient patient experience. This role requires excellent communication, organizational, and multitasking skills, as well as proficiency in administrative tasks and patient interaction. The ideal candidate will be a friendly, professional, and reliable individual who can contribute to a positive and welcoming environment.

Responsibilities:

Patient Interaction:

o Greet and welcome patients with a warm and friendly demeanor.

o Answer phones, schedule appointments, and manage patient flow efficiently.

o Assist patients with completing necessary paperwork and forms.

o Address patient inquiries and concerns promptly and professionally.

o Maintain patient confidentiality and adhere to HIPAA regulations.

Administrative Tasks:

o Manage patient records and ensure accurate data entry.

o Process payments, handle insurance verification, and manage billing inquiries.

o Maintain and organize office supplies and inventory.

o Prepare and distribute correspondence, emails, and faxes.

o Manage and organize patient files, both physical and electronic.

o Use Microsoft Word to create documents, letters and reports as needed.

Scheduling and Organization:

o Maintain the computerized appointment schedule and ensure efficient patient flow.

o Confirm appointments and manage appointment changes.

o Organize and prioritize tasks to ensure smooth office operations.

o Maintain the cleanliness and organization of the front office area.

Communication:

o Communicate effectively with patients, staff, and healthcare professionals.

o Relay messages and information accurately and efficiently.

o Maintain a professional and courteous demeanor at all times.

Other Duties:

o Assist with other administrative tasks as needed.

Qualifications:

High school diploma or equivalent required; associate's or bachelor's degree preferred.

Proven experience in a front office or administrative role, preferably in a healthcare setting.

Excellent communication and interpersonal skills.

Strong organizational and multitasking abilities.

Proficiency in Microsoft Word and basic computer skills.

Accurate and efficient typing skills.

Knowledge of medical terminology and insurance procedures is a plus.

Ability to maintain confidentiality and adhere to HIPAA regulations.

Ability to work independently and as part of a team.

Positive attitude and professional appearance.

Must be highly organized.
