Description We are offering a unique opportunity for an Administrative Assistant in the Real Estate Property/Facilities Management industry. The chosen candidate will be based in our Honolulu, Hawaii office, providing crucial administrative support for daily operations. The role involves managing concierge services, customer service, and administrative tasks. If interested in this role, please call us at 808-531-0800. Preference will be given to applicants currently residing in Hawaii due to the nature of the job requirements.Responsibilities: Answer incoming phone calls and redirect them as necessary Assist residents with their inquiries or requests efficiently and professionally Organize and schedule appointments for property tours Communicate relevant information to management in a timely manner Conduct move-in orientations for new residents Handle reservation requests and check-in activities Generate and deliver reports as required Oversee deliveries and liaise with third-party vendors when necessary Provide comprehensive administrative assistance as needed.Requirements Minimum of 2 years of experience in an administrative role, preferably in the Real Estate Property/Facilities Management industry Proven skills in Concierge Services and Check-In procedures Exceptional Customer Service skills with a focus on delivering high-quality service to both internal and external stakeholders Ability to manage Reservation Requests in a timely and efficient manner Proficiency in Report Generation for monitoring and tracking purposes Experience in handling Deliveries and coordinating with Third-Party Vendors Strong Administrative Assistance skills, with the ability to manage multiple tasks and prioritize effectively Excellent communication and interpersonal skills Proficiency in Microsoft Office Suite and other relevant software applications High attention to detail and organizational skills Ability to work effectively in a team and independently Problem-solving skills and ability to handle challenging situations Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
