Description We are seeking an Executive Assistant in Honolulu, Hawaii. As part of our team, you will be involved in the marketing and real estate industry, providing vital support and coordination to our executive team. This role revolves around managing correspondence, scheduling meetings, and maintaining confidential documents. If interested in this role, please call us at 808-531-0800. Preference will be given to applicants currently residing in Hawaii due to the nature of the job requirements.Responsibilities: Coordinate executive communications, including taking calls, responding to emails and interfacing with clients. Schedule meetings and appointments and manage travel itineraries. Arrange corporate events to take place outside of the workplace, such as golf tournaments, fundraising events and staff appreciation events. Maintain an organized filing system of paper and electronic documents. Uphold a strict level of confidentiality. Develop and sustain a level of professionalism among staff and clientele. Assist in the preparation of internal and external corporate documents for team members and industry partners. Collaborate with the marketing team to implement strategies and projects. Provide support in the real estate processes and liaise with relevant agencies. Manage customer credit applications and maintain accurate customer credit records.Requirements Proven experience as an executive assistant or similar administrative role Knowledge of office procedures Solid experience with office management systems, ERPs and MS Office Familiarity with online calendars and cloud systems Experience using office equipment, including printers and fax machines Excellent verbal and written communication skills Strong organizational skills with the ability to multi-task High School degree; additional qualifications as Personal Assistant or Secretary are a plus Experience in the marketing and real estate sectors is preferred Proactive approach to problem-solving with strong decision-making skills Professional level verbal and written communications skills Discretion and confidentiality Ability to work in a fast-paced, deadline-driven environment Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software Proficiency in collaboration and delegation of duties Robert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
