Job Summary: Creates and maintains a unified system of facilities management operations, policies and procedures and assists with meeting property performance measures across company portfolio.

Essential Job Functions:

Creates and/or ensures compliance with the following policies, procedures, systems, and programs:

o Develop and maintain Preventive Maintenance Schedule

o Oversee Lead Management Plan and ensure compliance

o Interview Contractors and maintain a master Vendor List

o Maintain Certificate of Insurance and W9 Files For Vendors

o Oversee Work Order System

o Inventory Recording & Tracking

o Emergency and Evacuation Plans

o Purchasing & Procurement Policies (Supplies & Repair Work)

o Bid Specifications (Routine Seasonal, General Repair and Capital Improvements)

o Unit Inspections

o Unit Turnovers/Make Ready

Assists with ensuring following performance measures are maintained:

o 95%+ Occupancy Rates

o 5 day or less Unit Turnover rate

o Low Budget Variances

Assist and correct maintenance on all building surfaces, fixtures, systems, and equipment.

Assist in preparing units for new residents

Manage equipment spare parts and supply inventory to minimize unplanned downtime.

Work with outside suppliers concerning service contracts and ordering supplies.

Pick-up and deliver supplies when needed.

Provide support as needed on capital projects.

Promote safety and see all jobs through to completion.

Serve as back-up to Property Manager.

Assist with onboarding and training of facilities cleaning and maintenance staff.

Identify & Implement Training Programs (Safety, Maint Software, Contract Review, Maint Staff Development, etc.)

Assist with creating annual repairs, maintenance contracts and capital improvements budgets.

Ensure Vendor Compliance with Maintenance Contracts.

Monitor overall client satisfaction related to maintenance division through outreach options including surveys, etc.

Various other tasks including troubleshooting complex repairs with vendors and staff, performing repairs work, provide on-call emergency service response to various properties, and trade consulting work as needed.

The maintenance supervisor does hands on maintenance approximately 75% of the time with administrative 25%. They must have strong plumbing and carpentry skills (subfloors, Sheetrock).

Qualifications: Strong plumbing and carpentry skills. Proficient level understanding and experience in most maintenance trades HVAC, Plumbing, Electrical, Painting, Appliance Repair, Carpentry, Landscaping and all other related work. HVAC and other related state required certifications a plus. Strong communication and organizational skills, reading comprehension and intermediate computer/office skills.

Physical Demands: Ability to walk the property, climb ladders, stand on roofs, fit in crawl spaces, lift/carry up to 85lbs, and utilize a variety of tools to perform maintenance.

Work Environment: Indoor and outdoor environments, in extremes of local climate conditions.

Must be available for 24 hour on-call emergencies.
