Job Title: Personal Administrative Assistant

Aurora & Denver

We are seeking a highly organized and proactive Personal Administrative Assistant to join our team. Our ideal candidate is someone who thrives in a fast-paced environment, is detail-oriented, and maintains the highest level of confidentiality at all times. We are a commercial facility maintenance company that performs maintenance & snow removal.

Key Responsibilities:

- Manage and organize calendars, including scheduling appointments, meetings, and events.

- Handle confidential information with discretion and integrity.

-Assist in Payroll Processing

-Assist In Sub contractor set up and payments

-Enter Bills Into accounting software

-Maintain records of equipment purchases, etc.

- Communicate With management daily

- Prepare and edit correspondence, communications, presentations, and other documents.

- File and retrieve documents and reference materials.

- Conduct research, collect data, and prepare papers for consideration and presentation.

- Arrange and coordinate travel and accommodations.

- Manage and maintain executives' schedules, appointments, and travel arrangements.

- Assist with planning and implementation.

- Monitor, screen, respond to, and distribute incoming communications.

- Liaise with internal staff at all levels.

-Set Up Sub Contractor Files

-Coordinate Trainings For Employees

Requirements:

- Proven experience as a Personal Assistant or Administrative Assistant.

- Exceptional organizational and time-management skills.

- Strong verbal and written communication skills.

- Ability to maintain a high level of confidentiality.

- Proficiency in MS Office (Word, Excel, PowerPoint) and familiarity with other software applications.

- Excellent attention to detail and problem-solving skills.

- Ability to work independently and as part of a team.

-Must have transportation to commute between offices ( Aurora & Denver)

- High school diploma
