The Denver Regional Council of Governments (DRCOG) is recruiting a Division Assistant to support the work of the Regional Planning and Development Division. This position will be integral to DRCOG’s work with member governments and external stakeholders in our work to implement the region’s regional plan, Metro Vision. The Division Assistant serves as the administrative backbone for regional convenings, delivery of best practice trainings, and planning tools. This position will be deeply involved in developing and maintaining administrative systems to support the professional planners, economists, geographic information specialists, and software developers as they deliver quality products and deliverables to local governments and partners across the region.

This position is eligible for alternate work arrangements that may include flexible schedules and/or working remotely up to three days a week within Colorado

ABOUT THE POSITION OF Division Assistant (Regional Planning and Development)

This class specification represents only the core areas of responsibilities; specific position assignments will vary depending on the needs of the Division.

Provide support to the division as directed to ensure that company goals and objectives are

accomplished, and operations run efficiently. Maintain and refine internal processes, coordinate internal

and external resources to expedite workflow. Manage communication between stakeholders, liaising

with internal and external executives on various projects and tasks; attend internal program meetings for

division director. Plan and orchestrate work to ensure the division director’s priorities are met,

organizational goals are achieved, and best practices are upheld.

Act as the point of contact between Division Directors and employees/clients. Maintain professionalism

and strict confidentiality with all materials, and exercise discretion when interfacing with the organization.

Receives calls and responds to customer service requests; responds to and handles more complex complaints, issues and inquiries not resolved at a lower level; reviews and researches program, process and/or procedural information related to requests; provides program or function related information; directs specific inquiries to appropriate resources; may provide reception and switchboard operation duties.

Coordinate complex scheduling and extensive calendar management, as well as management of content

and flow of information to director and staff. Manage, coordinate, and arrange travel and travel-related

activities, including hotel booking, transportation, and meal coordination.

Prepares, reviews and/or processes various forms, documents, reports, presentations, spreadsheets and correspondence; reviews information for accuracy and completeness; receives, reviews, processes and/or distributes mail.

Organize team communications and plan events, both internally and offsite Schedules meetings, makes

reservations and prepares arrangements for meetings, travel, and/or events; coordinates agendas,

meeting materials and administrative details; prepares and distributes meeting minutes and summaries;

prioritizes and performs follow-up activities related to planning and coordinating meeting or project

needs, and providing resolutions to problems or issues.

Performs research related to area of assignment and provides related information and/or

recommendations to management and staff; maintains database information, records, files, logs, and

documents; prepares and updates office procedures; adheres to data archival and records retention

procedures.

Serves as a resource within organization and provides training and support on specific software and/or

assistance in gathering, organizing and maintaining program or functional materials and related

documentation. Train and support staff on policy compliance and adherence.

Performs other duties of a similar nature and level as assigned.

Providing administrative and clerical support for the division;

Assisting with collection, acquisition and maintenance of business operations data, including contact

lists, performance metrics, non-technical data required by technical processes.

Support meetings, trainings and workshops;

Editing rough draft work for completion by others, including narrative and statistical reports,

presentations, forms, etc

Preparing, reviewing and updating procedural documentation related to the position.

Ensuring the maintenance of division records per established policies and in compliance with

DRCOG’s records retention policy.

Standard practices, methods and materials of assigned work.

Filing and record-keeping principles.

Business math concepts.

Supplies inventory and equipment maintenance practices.

Uses and properties of supplies and equipment.

Applicable federal, state and local laws, codes, regulations (based on assignment).

Utilizing a computer and relevant software applications.

Utilizing communication and interpersonal skills as applied to interaction with coworkers, supervisors,

the general public and others to sufficiently exchange or convey information and to receive work direction.

Education and experience requirements:

High School Diploma or GED and a minimum of five years of related clerical and/or office support experience. OR

An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation.

STATUS: Full-time, Non-exempt

COMPENSATION AND BENEFITS

The hiring salary range for this position is $4,359.34 - 5,230.94/month or $2,179.67 - $2,615.47/semi-monthly depending on qualifications.
