Position Overview:

The Office Manager will play a crucial role in ensuring the smooth operation of our office. The ideal candidate will have experience in the construction industry and possess excellent organizational and communication skills. This position involves a variety of administrative tasks, with a focus on schedule management, client communication, and document management.

Responsibilities:

Schedule Management:

Coordinate and manage project schedules and appointments.

Ensure timely completion of tasks and adherence to deadlines.

Assist in resource allocation and workforce scheduling.

Client Communication:

Serve as the primary point of contact for client inquiries and communications.

Maintain professional and responsive communication with clients via email, calls, and chats.

Address client concerns and escalate issues as necessary.

Document Management:

Organize, maintain, and update project documentation and files.

Prepare and distribute reports, contracts, and other necessary documents.

Ensure compliance with company policies and industry regulations.

Administrative Support:

Assist with the preparation of budgets and financial reports.

Oversee office supplies inventory and place orders as needed.

Team Coordination:

Facilitate communication and coordination among project teams.

Organize and conduct regular team meetings.

Assist in the development and implementation of office policies and procedures.

Technology Management

Maintain and troubleshoot office equipment and software systems.

Ensure proper use of project management and communication tools.

Qualifications:

Proven experience as an Office Manager or in a similar administrative role, preferably within the construction industry.

Strong organizational and multitasking abilities.

Excellent written and verbal communication skills.

Proficiency in Google Docs and familiarity with project management software.

Ability to work independently and as part of a team.

Detail-oriented with strong problem-solving skills.
