Martin M. Ron and Associates, Inc. is a small, family-owned land surveying business with fewer than 20 employees, located in the South of Market neighborhood of San Francisco. We specialize in land surveying services for projects in San Francisco and surrounding areas.
We are seeking a full-time Office and Compliance Manager to oversee general office operations and manage compliance and safety programs for our construction projects. This role is crucial in ensuring smooth business operations, regulatory compliance, and financial organization.
Key Responsibilities:
(Including but not limited to)
Office Management & Administrative Support:
o Maintain and order office and field supplies.
o Track and manage employee vacation time and work schedules.
Financial & Contract Administration:
o Prepare, track, and process invoices, payment applications, change orders, lien releases, and proposals.
o Maintain invoice logs, track retention payments, and record write-offs for review and approval.
o Handle accounts receivable and collections, notifying project managers of delinquent invoices.
o Provide W-9 forms and banking details to clients.
Compliance & Payroll:
o Prepare prequalification documents and consultant applications.
o Review contracts and request insurance certificates.
o Manage certified payroll (manual and online) using platforms such as LCP Tracker, Elations, and DIR sites.
o Ensure compliance with government regulations for publicly funded projects.
o Maintain and update insurance certificates, change order logs, and union letters for clients.
Safety & Risk Management:
o Maintain safety and training records.
o Investigate accidents, prepare reports, and manage Cal/OSHA logs.
o Handle insurance claims and prepare weekly safety toolbox topics for distribution.
o Regularly review and update the company safety manual.
Qualifications:
Strong problem-solving skills.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
Excellent communication and interpersonal skills.
Detail-oriented with a positive attitude and enthusiasm.
Familiarity with construction compliance issues.
Knowledge of Cal-OSHA regulations and other construction safety standards.
Compensation & Benefits:
This is a full-time, exempt position with a salary range of $90,000-$110,000 per year, based on experience.
