We are a small general contractor company specializing in both commercial and residential interiors. Currently we are seeking a reliable, trustworthy, and hardworking office administrator to join our team! Must have great communication skills and maintain a positive, professional demeanor. Under the direction of the office manager, the office administrator is responsible for assisting in the completion of tasks as directed. This role is an hourly wage role that includes medical,dental,401k and a stipend for cell phone use after 90 days of employment is completed. Role is also required to clock in and out of work everyday via Tsheets.

Major Responsibilities:

1. Entering data into spreadsheets or databases and generating reports as needed.

This could include tracking project expenses, labor hours, and materials usage.

2. Assisting with financial tasks such as invoicing, processing payments, and reconciling accounts.

3. Support: Assisting with HR tasks such as maintaining employee records, assisting in

processing payroll, and coordinating employee benefits.

4. Document Preparation: Drafting and formatting documents such as memos, letters, contracts, and project

proposals.

5. Providing excellent customer service to clients, subcontractors, and vendors by addressing

inquiries and resolving issues in a timely manner.

6. Overseeing office maintenance tasks such as ordering supplies, organizing workspaces,

and ensuring office equipment is in good working order.

7.Ensuring compliance with health and safety regulations by maintaining safety

records and helping organize safety training sessions with direction from the field superintendent.

8. Providing support to project managers and construction teams as needed, such as organizing

project meetings, preparing meeting agendas, and distributing project-related documents.

Requirements

1. Candidate must be legal to work in the US and fluent in English

2. Prior experience in an administrative role is often preferred

3. Proficiency in computer skills, including Microsoft Office applications such as Word, Excel, and Outlook.

Familiarity with project management software and accounting software may also be beneficial.

4. Strong organizational skills are essential for managing multiple tasks, prioritizing workloads, and

maintaining accurate records and filing systems.

5. Dependability and punctuality are crucial for showing up on time and completing assigned tasks

efficiently.

Assist in management and estimating of construction projects in San Francisco, Ca.

Organize data and files related to appropriate projects.

Assist in Project estimating tasks (I.E. requesting proposals from subcontractors, contacting vendors)

Assist in Project management tasks (Sequencing Job schedules, Procurement scheduling, coordinate labor)

Experienced with computers. Ability to learn software (Microsoft 360, Excel, Word, Project, and Adobe acrobat PDF formatting)

Schedule/Host Zoom calls, on-site meeting and job walks using google calendar.

Track labor hours and prepare billing invoices presented to clients.

Bi-monthly payroll submission to accounting department.

Organize Files and Folders to ensure up to date information is readily accessible.
