Intake Coordinator for Therapy Practice (mostly online)

Overview:

We are seeking a highly organized and detail-oriented individual to join our team as an Office Manager and Intake Coordinator. As an Intake Coordinator, you will play a crucial role in managing the intake process for our organization. This position requires excellent organizational skills, strong attention to detail, and the ability to multitask effectively. You need to be proactive and confident in your communication. Work Location: Mostly online, but the ability to come to the bay area offices occasionally would be helpful.

The ideal candidate will have availability off and on all day most days, enabling you to respond to client inquiries as quickly as possible. You will be my right hand person, and the more available you are, the more valuable you are to me.

Responsibilities:

- Manage the intake process for new clients, including gathering necessary information and documentation

- Conduct initial assessments to determine client needs and eligibility for services

- Complete benefits checks with insurance companies in a timely manner

- Coordinate and schedule client appointments

- Accurately track and document steps in the intake process

- Communicate effectively with team members and clients

- Maintain accurate and up-to-date client records in our database

- Assist with training development and implementation for new staff members

- Document workflow and develop efficient systems

- Generally support business owner and take over as many tasks as possible

Experience:

- Previous experience in an administrative or coordinator role preferred

- Strong organizational skills with the ability to prioritize tasks effectively

- Proficient in Google Suite (google docs, sheets, etc)

- Experience with calendar management and scheduling software

- Excellent phone etiquette and communication skills

- Ability to work independently and as part of a team

- Familiarity with Simple Practice is a plus, but it is very easy to learn

- Experience with insurance billing is also helpful

This is a part-time position offering competitive compensation. I welcome the possibility of you taking on more tasks and increasing your hours. As you take on more tasks, I am generous with raises.
