Long-standing, local architecture firm is seeking a part-time Office Manager to support our team. We pride ourselves on providing custom designs, listening to each client’s needs, and staying true to our vision. We value collaboration, creativity, and curiosity.

Job Summary:

We are looking for a diligent and organized Office Manager to handle essential tasks for the smooth operation of our office. Responsibilities include daily office management, IT and facilities coordination, light cleaning, recruitment support, and contributing to marketing efforts.

Key Responsibilities:

Mail and Document Management:

- Retrieve and sort daily mail from the P.O. Box located on Soquel Avenue.

- Process new contracts.

- Organize digital files.

IT and Facilities Coordination:

- Coordinate with the IT consultant team for technical needs.

- Liaise with property management for facility issues.

- Manage monthly water delivery.

Lunch & Learns:

- Research and coordinate monthly staff development sessions.

Recruitment and Onboarding:

- Post job openings on various job sites.

- Screen resumes and forward suitable candidates.

- Schedule interviews and assist with onboarding.

- Conduct office tours and coordinate new hire hardware needs.

Office Support:

- Assist Architects, Project Managers, and Bookkeeper as needed.

- Order and maintain office supplies.

- Maintain the holiday calendar and schedule office meetings.

Office Maintenance:

- Keep the break area stocked and clean.

- Perform light surface cleaning of workstations.

- Water office plants weekly.

- Manage petty cash and company credit card for purchases.

Communication and Marketing:

- Answer phone calls and take messages.

- Monitor and prepare responses to Requests for Proposals (RFPs).

- Conduct marketing mail-outs to local officials, businesses, and residents.

- Create weekly social media posts for Instagram and Facebook.

Qualifications:

- Excellent organizational and multitasking abilities.

- Strong communication skills.

- Experience with IT coordination and facilities management is a plus.

- Ability to maintain a clean and organized work environment.

- Basic understanding of marketing and social media platforms.

- Familiarity with Microsoft Office Suite, Google Workspace, and project management software preferred but not required.

Compensation:

- $25 per hour, with potential for increases based on performance.

- 25 hour work week.
