Administrator Job Description

Overview: We are seeking an organized and detail-oriented individual to join our team as an Administrative Assistant at A. Bagley CPA Tax & Accounting Services, Inc. The ideal candidate will possess strong administrative skills and demonstrate a commitment to client service excellence. This role will involve managing various administrative tasks specific to our tax and accounting office.

Key Responsibilities:

Client Communication: Respond to phone calls and emails from Info.com or direct inquiries to the appropriate team member. Provide excellent customer service by addressing client needs promptly and professionally.

Document Management: Print tax returns for individuals, businesses, trusts, nonprofits, and other entities as required. Organize and label client documents accurately for efficient record-keeping.

Data Entry: Perform emergency data entry tasks as needed to support the smooth operation of the office.

Mail Handling: Sort and process incoming mail, distributing it to the relevant recipients within the organization.

Financial Transactions: Handle the processing of payments, including deposits and receipts, using QuickBooks and other financial software. Maintain accurate records of financial transactions.

Online Document Intake: Facilitate the intake of online tax documents from clients, ensuring all necessary information is collected and documented correctly.

Keeper of the "Interest List": Maintain and update the interest list of clients, ensuring accurate and timely information.

Required Skills and Qualifications:

Attention to detail and accuracy in all tasks.

Proficiency in database and spreadsheet technology.

Strong record-keeping and organizational abilities.

Knowledge of tax law and the importance of confidentiality.

Customer service orientation with excellent communication skills, both written and verbal.

Ability to prioritize tasks and work efficiently in a fast-paced environment.

Strong problem-solving skills and the ability to think critically.

Excellent interpersonal skills, with the ability to work independently as well as part of a team.

Desire to grow within the accounting field, with aspirations to become a tax preparer.

Working Hours: This position is full-time during tax season, from February to April and September to October with extended hours as needed to meet client demands. During the off-tax season, hours will be part-time, with potential for growth in bookkeeping responsibilities throughout the year.

Pay Rate: Compensation for this position ranges from $20 to $25 per hour, depending on the candidate's skill set and experience level. Bonuses are issued after each busy season based on work performance. We have a paid time off plan available after 3 months of employment and holiday pay after one year which is based on average hours of work. A retirement plan is available with matching contributions and health benefits or reimbursement for health plans after one year of employment.
