Overview The Administrative Assistant position requires the ability to be dynamic and flexible, the day-to-day duties may vary maintain confidentiality, work well with the public, staff, and volunteers. This position reports to the Program Manager. Must be available Monday - Friday 8:30 am to 3:30 pm. On-Site.
Primary Duties and Responsibilities
1. Customer Service functions
· Greet and offer courteous, informed assistance to all volunteers and any potential clients whether on the phone or in person.
· Receive all incoming telephone calls including checking voice messages. Take complete and accurate messages.
· Respond to inquiries or direct as appropriate to other staff.
2. Office specific functions
· When a potential client calls, try to determine whether they are eligible or not
· Forward eligible clients to case manager for intake process. Making calls to potential clients as assigned.
· Assist with maintaining systems.
· Attend staff meetings as scheduled.
· Handle urgent and emergency situations as they arise with assistance of the Program Manager

· SERVTracker database
· Smartphone use
· Basic office equipment
