Our client, a long established property management/development firm is looking to hire an administrative assistant, part time, on a temp to hire basis. This role would temp for 12 weeks and go regular after that. The firm is located in Rockridge, right near the BART station.

Onsite reporting
Flexibility for 6hr day without lunch – must complete waiver
Pay Rate: $25.00 / Hour ($28.00 - $30.00 / Hour DOE – Once direct hire)
Responsibilities:
Assist with maintenance schedules by prioritizing and assigning work orders. Additionally, coordinate with tenants for any utility install and resolve any issues with utility companies.
Coordinate work order requests between tenants and maintenance teams
Onboarding and offboarding tenants to ensure smooth unit turnover. Including inspections, repairs, key handoff/return, signage, cleaning
Assist with marketing materials for listings of available units on home website and third-party postings. Additionally, order specific signage as needed for each property
Update and maintain property management data and information in AppFolio system
Research and order products and tools for repairs, maintenance, and construction
Assist with bookkeeping tasks such as credit card reconciliation, accounts payable, accounts receivable, timesheet data entry and document scanning
Use a tracking system for recycling construction materials for reporting to City of Oakland
Maintain office equipment, inventory and supplies with re-orders as needed
Troubleshoot office equipment including printer, modem, audio/visual equipment
Assist with inbound and outbound certified mail or packages
Document management of internal records, contracts, invoices, and receipts. Routine filing and digitization of hard copy documents.
Project management level support to property development projects, new business initiatives and programs
Qualifications:
Qualified candidates should possess a bachelor’s in business administration, business, finance, or accounting. A minimum of three years administrative assistant, executive assistant, or project management experience. Bilingual abilities in both English and Spanish are highly desired (note required). Prior real estate, property management or professional service industry experience is a plus. Proficiency in MS Office (Outlook, Word, Excel, and PowerPoint). Knowledge of Google Applications, Adobe, and CRMs is highly desired. In addition to any familiarity with AppFolio or Task Management Software (Asana, Monday.com, Jira, etc.). Demonstrate use of good judgment and strong interpersonal skills. Clear, effective, and concise communication abilities. High-level time management skills, and ability to work efficiently in a dynamic office environment. Collaborates harmoniously and effectively with others as part of a team, in addition to self-starter mentality when needed.
