About the camp:

The Milton Marks Family Camp (MMFC) is a non-profit project bringing respite, connection and a deeper sense of community to families where one parent has a malignant brain tumor. Although there are family camps for children with pediatric illnesses, we believe that ours is the first family camp in the U.S. to help families cope with parental illness. Begun in 2014, the camp welcomes approximately 15 families for one weekend annually, where they, assisted by some 50 staff members and volunteers, enjoy a program designed with particular attention to helping family members cope and deepen their connections to one another – as well as get a break from the demands of the illness and simply have fun together!

Our professional staff includes clinical child psychologists, cancer social workers, musicians, neuro-oncology nurses and physicians, a yoga instructor experienced in working with cancer patients, jin shin jyutsu practitioners, massage therapists, camp counselors, professional photographers, and more. Currently the families attending MMFC are recruited from among those connected to the neuro-oncology unit at University of California at San Francisco (UCSF).

Our 2024 camp will take place from September 12th-15th, 2024

NATURE OF THE POSITION

Working closely with the Camp Director, the Operations Coordinator is responsible for ensuring the smooth logistical, communications and administrative operations of the camp, from the planning and recruitment phase to the follow-up phase. The operations coordinator oversees the general operations of “the office” and ensures MMFC logistical, clerical, and accounting needs are met. Under the supervision of the Camp Director, the coordinator serves as the main point of contact for the camp staff, volunteers, families, vendors and fiscal sponsor. The operation coordinator is an essential part of the smooth year round operation of the MMFC.

Key duties and responsibilities include:

creating and managing project timelines and workflow

overseeing daily administrative operations of the MMFC year financial management

communicating regularly with families and staff before and after camp

coordinating communication with camp site and vendors

communicating with our fiscal sponsor around billing, donations and expenses, keeping organized ledger of donations and expenses

coordinating logistical needs and application/registration process for staff and families

Prepares thank you correspondence for donors

Foster good relationships with fiscal sponsor, vendors, staff, and families

Monitor MMFC email and respond to queries and other incoming notifications on a regular basis.

Evaluate current operations and suggest strategic plans for improvement as needed

Reports to: Program Director and Advisory Board

Salary: $35/hr.

Status: Part-time, year-round, with flexible hours in most months

Location: WFH/ Remote and On Site during camp

Year Round: 5-10 hours/week (generally closer to 10 hours/week)

Mid-months leading up to camp: 20-30 hours/week

Attendance at Camp (4 days in summer/ fall as scheduled)

QUALIFICATIONS

Familiarity with event operations and production, preferably camp, conference or other multi-day events

Ability to develop creative solutions to operational challenges

Ability to adapt to changing priorities and respond to shifting needs

Effective communication, interpersonal and organizational skills

Ability to work independently as well as part of a team

Detail-oriented with attention to accuracy

Flexibility in scheduling and work hours

Familiarity with and/or sensitivity to interacting with people dealing with emotional or physical challenges

Comfort with project management and financial reporting software tools

Ability to lift 30lbs

Fluency in Macintosh- and web-based applications including MS Office and Google Docs, Excel and/or Google Sheets and familiarity with QuickBooks preferred

Valid driver’s license and clean driving record

Flexible, creative, and adaptable while maintaining a positive attitude and sense of humor
