LEGAL ASSISTANT SOUGHT FOR BOUTIQUE DOWNTOWN SF (DOWNTOWN/JACKSON SQUARE) REAL ESTATE/GENERAL CIVIL LAW FIRM (WITH ACTIVE MEDIATION PRACTICE BY SENIOR PARTNER)

Responsibilities:
· Coordinate filings and service on counsel of pleadings and documents with Superior Courts, Rent Boards, Assessor-Recorder Offices, Sheriff’s Offices, and other administrative offices, departments, and organizations.
· General administrative duties, i.e., telephone calls; schedule client consultations; transcribe voicemail messages; open, scan, file, and distribute mail; organize emails for Partners, open and close client files.
· Prepare Bills to clients, edit Bills, finalize and send out Bills to clients via email and U.S. mail.
· Run client credit cards for payments for Bills and legal consultations with lawyers.
· Schedule Mediations for Senior Partner who regularly conducts Mediations (as the Mediator), coordinate dates with other lawyers and/or secretaries for other lawyers, send out confirmation agreements for mediations, follow up on timely payment of mediation deposits, submit Mediation Briefs, prepare and send out Agreements to Mediate, and send out Zoom invitations for Mediations.
· Draft correspondences with clients and prospective clients, prepare Retainer Agreements for clients to sign, and transmit Retainer Agreements to clients via DocuSign
· Prepare, proofread, and edit drafts of letters, legal briefs, deeds, contracts, agreements, and other legal documents. Finalize documents (after approval by attorney) and transmit to clients, other counsel, courts, or arbitrators.
· Conduct legal research of cases, statutes, codes, etc., and gather other pertinent legal information.
Requirements:
· Proficient in Microsoft Office, WORD, Corel WordPerfect, Westlaw, PACER, and other legal research sites.
· Experience using One Legal, File & ServeXpress, TimeSlips (billing software – either familiarity or willing to quickly learn), and other legal filing platforms.
· Strong organizational skills and meticulous attention to detail.
· Ability to work under pressure and meet deadlines.
· Ability to work independently and as part of a team.
· Strong written and verbal communication skills.
· Analytical thinker with strong conceptual and researching skills.
· Ability to generally understand legal documents.
Hours are 1:00 p.m. – 5:00 p.m. (20 hours/per week, possibly more), Monday to Friday. This is an in-office position.
