Office Manager Duties and Responsibilities
The position is responsible for providing a broad spectrum of support to the office administration in a fast paced, challenging, and rewarding environment. Requirements include organizational, technical and process skills and the ability to continuously prioritize multiple items.
Essential Job Functions
Answer phones, greet clients, and handle customer inquiries and complaints
Prepare communications, such as emails, text messages, contracts and other correspondence
Prepare reports for management
Assign cases and tasks to Case Resolution Team
Set-up and maintain client payments
Review invoices for processing
Confirm signed documents and payments have been received
Confirm department work has been completed on contractor invoices
Prepare timesheets and payroll
Prepare new job offers, on boarding packages, set-up payroll and software for new hires
Ensure databases, spreadsheets, electronic filing system, etc. to be current and accurate
Manage internal staff relations and help maintain a safe, secure, and pleasant work environment
Be a positive influence for the team
Perform other misc duties as assigned by management
Qualifications
3+ years in administrative support and procedures and office practices
Tech savvy with the ability and desire to embrace necessary software applications
Strong written and verbal communication skills
Intermediate, to advanced, proficiency with all Microsoft applications
Superior organizational and follow-through skills with strong attention to details and deadlines
Multi-tasking abilities, to change direction frequently between tasks and/or clients
Proven ability to work in a high-volume, fast-paced, deadline-driven environment, to handle multiple projects (prioritizing, planning and organizing project simultaneously)
Ability to work with sense of urgency
Ability to work independently with limited supervision
Open to constructive feedback and changes
Flexibility to work additional hours during peak periods of the year
