Job Overview:

The Administrative Assistant will provide essential support across various functions within the firm to ensure smooth day-to-day operations. This position is designed for someone who enjoys taking on a variety of responsibilities and can step in to assist different teams when needed. As a key player in the office, you will help maintain a high level of service and efficiency, ensuring tasks are handled in a timely and organized manner.

Key Responsibilities:

-Administrative Support: Assist with general office duties such as answering phones, scheduling appointments, filing, and organizing documents.

-Client Communication: Serve as a point of contact for clients when primary staff members are unavailable, ensuring clients receive prompt, courteous, and professional responses.

-CRM System Management: Maintain accurate and up-to-date client information in the CRM system. If no experience with CRM software, must be willing and quick to learn.

-Document Preparation & Data Entry: Assist in the preparation of tax-related documents, reports, and forms. Input and update client data accurately in both physical and digital records.

-Cross-Functional Support: Provide assistance across various departments (Client Services, Operations, etc.), ensuring all areas of the firm run smoothly and that tasks are completed efficiently.

-Phone Etiquette: Professionally handle incoming calls, direct inquiries to the appropriate department, and maintain a positive, friendly attitude at all times.

-Filing & Organization: Ensure that both physical and electronic files are kept organized, and manage the filing system to ensure quick retrieval and compliance.

-Miscellaneous Tasks: Support ad-hoc tasks as needed, from mail handling to organizing meetings and client visits, always ensuring smooth day-to-day operations.

Requirements:

-Education & Experience:

High School diploma or equivalent required; additional education or certifications in office administration is a plus.

Previous experience in an administrative or customer service role, preferably in a professional services or legal/tax-related environment.

-Experience with CRM systems is a plus but not required (we’re willing to train the right candidate).

Skills & Qualifications:

Strong computer literacy, including proficiency with Microsoft Office Suite (Word, Excel, Outlook, etc.).

Excellent phone etiquette and strong customer service skills, with the ability to handle a variety of client situations professionally.

Ability to work independently, prioritize tasks, and stay organized in a busy environment.

Quick learner who is adaptable to changing priorities and workflows.

Responsible, reliable, and accountable with a strong work ethic.

Friendly, approachable, and able to interact effectively with clients, team members, and external partners.
