Administrative Assistant III

The Metropolitan Water District needs an Administrative Assistant that has Prior experience in HR Medical and Worker’s Comp Screening. This position will support medical surveillance by coordinating medical screening exams, assisting with the DOT, oversee drug testing and COVID tracking as well as Administrative duties, heavy invoicing, payments, etc.

Hybrid Schedule - Los Angeles (downtown at Headquarters)

The temp labor assignment is up to 6 months, and the work schedule is a 44/36 hybrid schedule starting as early as 7:00am – 4:45pm with every other Friday off.

Pay: $42 to $47/hour

Duties include:

· Monitor the email inboxes for HR Medical and Accommodations and Workers Compensation, forward escalated request to Analyst or Manager as needed.

· Assist with the Medical Surveillance program by handling the medical screening for pre-employment, annual exams, and follow-up appointments for safety-sensitive, commercial drivers, and van pool staff for all MWD locations.

· Collect and organize all results, and work with Provider to develop system to ensure copies are provided to all employees.

· Assist with the DOT queries for Commercial drivers and assist with scheduling site visits for TPA to conduct random drug testing.

· Schedule screening and testing for potential chemical exposures.

· Handle heavy invoicing, which includes reviewing, reconciliation, and redacting confidential information and working with accounting staff to ensure payment.

· Send out forms and template letters via DocuSign, then download PDFs for files.

· Handle the filing for the team, which includes both paper and electronic files.

· Provide general administrative support to both WC and Medical Accommodation.

Job Requirements:

High School Diploma or GED

Experience in Administrative/Human Resources

· MS Office (EXCEL & Word), Adobe, DocuSign OneDrive, Oracle.

Familiarity with procurement/payment software experience is highly desirable, HRIS System/Database (Plus)

· Experience with Invoices (heavy) and HR database (i.e., Oracle)

MUST HAVE: HR Medical and Worker’s Comp Screening

Personable, Team Player, Flexible, Multitask and handles pressure well.

Detail-oriented, organized, and strong written and verbal communication skills are a must.

Valid CA Driver License.
