Job Summary

We are a social media and ecommerce company seeking a detail-oriented and organized Administrative Assistant to support our team in various administrative tasks. The ideal candidate will possess strong communication skills, both written and verbal, be fluent in English and Mandarin Chinese, be proficient in office management, and demonstrate excellent time management abilities. This role is essential for ensuring smooth operations within the office and providing exceptional service to our clients. This job is onsite at a Creator House in Rancho Palos Verdes with a spectacular view of the Pacific Ocean and requires the ability to commute to work.

Responsibilities

Manage daily office operations, including scheduling appointments and maintaining calendars.

Answer phone calls with professionalism, demonstrating excellent phone etiquette while addressing inquiries and directing calls as necessary.

Assist with the preparation of documents, reports, and presentations using computerized systems, such as Word, PowerPoint, Excel, etc.

Maintain organized filing systems for both physical and digital documents

Coordinate meetings and take minutes when required, ensuring all necessary materials are prepared in advance.

Handle incoming and outgoing correspondence efficiently.

Support the team with various clerical and ecommerce tasks as needed to enhance productivity.

Experience

Previous experience in an administrative role is preferred; experience as a clerk or receptionist is a plus.

Bilingual candidates in English and Mandarin Chinese are needed to facilitate communication with diverse clients.

Familiarity with TikTok, YouTube, Amazon, Temu, etc. is a plus!

Familiarity office management practices is essential.

Proficient in using computer software for document creation and data management, such as Word, PowerPoint, Excel, etc., and email systems such as Outlook.

Strong organizational skills with the ability to manage multiple tasks simultaneously while maintaining attention to detail.

Excellent time management skills to prioritize tasks effectively in a fast-paced environment.
