Job Description:
We are seeking an Office Manager to learn and help manage the overall business. This is an excellent, career-track opportunity for a self-starter interested in gaining experience across a broad spectrum of business applications. The ideal candidate will be organized, proactive, and resourceful in finding new solutions to improve our efficiency and effectiveness as we grow. They should be capable of handling multiple tasks with a high level of accuracy and professionalism. As we expand, you will have the opportunity to focus on the areas of the business where you excel and make a meaningful impact.
Key Responsibilities:
Customer Interaction:
Respond to customer inquiries via phone, email, and chat.
Provide quotes and complete transactions.
Follow up with customers that have placed orders or made inquiries.
Offer exceptional customer service and support.
Team Coordination:
Communicate and collaborate with our sample room personnel and our remote team.
Interact with personnel at our factories, logistics providers and warehouses.
Assist in coordinating schedules and workflows.
Marketing Support:
Create content for social media.
Produce SEO content.
Manage and analyze online ad campaigns.
Develop email and direct mail campaigns.
Review media calendars and produce press releases.
Conduct competitive analysis.
Participate in the planning and execution of trade shows.
Documenting and Streamlining Procedures:
Develop and maintain detailed documentation for recurring business processes, ensuring consistency and efficiency across operations.
Identify areas where procedures can be standardized or improved for scalability.
Collaborate with team members to ensure all workflows are accurately documented and accessible.
Create training materials and guides to onboard new team members and support ongoing employee development.
Implement tools and systems to track and update procedural documentation as the business evolves.
Logistics Management:
Oversee logistics operations, including ocean freight, domestic freight, and small package shipping.
Ensure timely and cost-effective delivery of products.
Factory and Warehouse Communications:
Maintain regular communication with factories and warehouses to manage production and stock levels.
Provide documentation for new product development.
Inventory Management:
Monitor and manage inventory levels.
Ensure accurate and timely stock records both internally and on the website.
Website Maintenance:
Launch new products.
Update and maintain product information.
Ensure product information is accurate and up-to-date.
Manage marketplace listings such as Wayfair.
Strategic Planning:
Actively participate in weekly, quarterly and yearly planning meetings
Commit to quarterly projects that move the business forward
Qualifications:
Strong organizational and multitasking skills.
Ability to work independently and as part of a team.
Excellent written and verbal communication abilities.
Proficiency in Microsoft Office Suite, particularly Excel.
Naturally curious about technology, including existing business platforms, AI, and emerging tools, with a proactive approach to troubleshooting and exploring innovative ways to enhance efficiency and effectiveness.
Ability to accurately calculate basic algebraic math problems.
Interest in architecture, interior design and construction.
Ability to work from the office in Riverside.
Willingness to travel occasionally for industry events, team meetings, and training.
Big Plusses:
Proficiency in Adobe Suite, Canva, or other graphic/video editing programs.
Prior experience in office management, logistics, marketing, or e-commerce.
Success in managing social media programs.
Experience in developing organic, earned media content.
Knowledge of online advertising platforms such as Google, Meta, Pinterest, LinkedIn, and others.
Experience with the architectural and design community.
Experience in sales, including cold calling or customer service.
