Job Summary

We are seeking a personable, detail-oriented, and organized Tax Office Assistant to join our team at a client-focused tax and accounting office. This seasonal, part-time position is available during our busy income tax filing season, from January through mid-April 2025. Training will begin in November or December, depending on the candidate's start date.

As a Tax Office Assistant, you will play a vital role in supporting daily office operations, ensuring efficient workflow, and providing excellent customer service. The ideal candidate will be responsible for handling clerical tasks, assisting clients, and helping maintain an organized office environment. Successful candidates will demonstrate strong time management and organizational skills, proficiency with computer systems, and the ability to effectively communicate with both clients and team members.

Duties

Answer phone calls, screen inquiries, schedule appointments, take messages, and provide prompt, professional responses.

Greet clients and visitors with a warm and friendly demeanor, ensuring a welcoming and comfortable environment.

Utilize secure file-sharing and messaging platforms to maintain privacy and confidentiality.

Organize client files and assist with preparing for appointments, ensuring everything is ready in advance.

Provide administrative support by managing schedules, organizing office files, and maintaining office supplies.

Communicate with clients via phone and email to gather necessary information for tax preparation.

Use your office management skills to streamline processes and improve overall team efficiency.

Maintain a clean and organized office space to create a productive work environment.

Assist team members with various tasks as needed, demonstrating flexibility and a strong commitment to teamwork.

Requirements

Proficiency with Microsoft Office applications (Word, Excel, Outlook).

Previous experience in a front desk or office administrative role is preferred.

Strong organizational skills, with the ability to handle multiple tasks efficiently.

Excellent time management skills, especially during the busy peak tax season.

Familiarity with phone etiquette and professional communication standards.

Spanish language proficiency is a plus, but not required.

A strong commitment to confidentiality when handling sensitive client information.
