Go Kids is currently looking for an Accounting Specialist. Non-Exempt, full-time position.

SUMMARY: Prepare and maintain interrelated financial records in relation to individual departments, projects and Go Kids as a whole in accordance to the HR & Fiscal Policy and Procedure Manuals of Go Kids, Inc.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following as well as other duties and responsibilities that may be assigned.

I. GENERAL ACCOUNTING:

Analyzes general ledger to ensure reconciliation with detail ledgers and/or supporting schedules.

Process month end balancing and journal entries.

Reconciles monthly bank statements.

Performs variance analysis reporting to appropriate manager to follow-up.

Reconciles and recommends resolution for report discrepancies and problems.

Coordinates and prepares pertinent information for external accounting firm and auditors.

Audits accounting department records, entries, and reports.

Assists in the completion of the month-end process and the preparation the monthly board reporting package.

Assist to establish and oversee financial record keeping system.

Enroll in appropriate training to adhere to the departments professional development goals.

Consolidate time study data semi annually for cost pools.

Continue to increase professional knowledge and skills associated with accounting.

I. ACCOUNTS PAYABLE

Performs variance analysis reporting to appropriate manager for follow up.

Assist with the coding and posting of Accounts Payable for payment for all Go Kids vendors.

Assist with process of monthly provider payments including setting up the appropriate file for ACH processing.

Assist with the reconciliation of accounts payable vendor statements. (i.e., calls, audit to vendor files, etc.).

Maintain and keep current vendor information inclusive of Employee car insurance information as well as vendor W-9 forms (verify vendor ID numbers and addresses).

Assist in maintaining provider payment records and files.

Assist in processing year end Form 1099 reports.

Audit internal annual vendor contracts with recurring monthly payments to maintain current status.

Assist Accounts Payable Specialist with month end accrual process.

Assist in departmental filing of documents.

II. PROCUREMENT

Assist in the Procurement process including entering P.O.s into the P.O. requisition system.

Interface with Agency Site Supervisors, Site Directors, Program Directors and Executive Team regarding requests for purchasing.

Assist in obtaining state required quotes in order to secure the best and lowest price (minimum of 3 quotes required).

Maintain quote binders containing the secured quotes and supporting documentation as required for the auditors and by state requirements under Go Kids CDE contracts.

Enroll in appropriate training to adhere to the requirements of our state procurement requirements.

III. OTHER DUTIES AND RESPONSIBILITIES

Cross train on accounting functions (i.e., Intacct, Excel, etc).

Process materials and supply orders for the entire agency.

Assist accounts payable in various clerical duties.

Assist with additional clerical support as needed by CFO.

Generate reports for fiscal department from the P.O. Requisition and Intacct software.

Other duties as assigned.

Possess general knowledge of accounting practices, including federal, state and local laws and regulations governing organizations.

Must possess exceptional communication skills to present facts and recommendations effectively in oral and written form, including accurate grammar and business correspondence knowledge.

Thorough knowledge of office administration (including efficient filing systems, office machines and equipment, and computer software) and skilled in customer service and employee relations.

Must present a neat, professional appearance.

Must be able to adjust tasks and focus with composure, and in accordance with changing deadlines and priorities.

Requires a good sense of humor and belief in working as a professional, cohesive team member.

EDUCATION and/or EXPERIENCE:

Associate degree (A.A/S) in Accounting from a two-year college or related field or certificate program required; and a minimum of three (3) years related experience working in a business and/or non-profit environment; or equivalent combination of education and experience. Experience in accounting, payroll and accounts payable processing essential. Must have a valid CA drivers license

LANGUAGE SKILLS:

Ability to read, analyze, and interpret general business periodicals and governmental regulations. Ability to write reports, business correspondence, and procedures with conformance to the prescribed style and format. Ability to effectively present information and respond to questions from government entities, employees, managers, clients, and the general public.

MATHEMATICAL SKILLS:

Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations. Ability to calculate figures & amounts with a 10 Key.

REASONING ABILITY:

Ability to define and solve practical problems and deal with a variety of concrete variables, occasionally in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Work Environment: While performing the duties of this job, the employee occasionally works in outdoor weather conditions and is occasionally exposed to the risk of electrical shock. Noise level in the work environment is usually moderate and can sometimes be noisy.
